Head of Mission Executive Assistant and Research officer
The Australian High Commission (AHC) in Tarawa invites applications for the position of Head of Mission Executive Assistant and Research officerwith a start date as soon as possible. The terms of employment will be in accordance with the Tarawa-based Terms and Conditions of Employment. Employment will be offered on an on-going basis at the LE4 level with a salary range of AUD19,004.00 to AUD 22,684.00. Continued employment is subject to successful completion of a three-month probation period.
The AHC offers an attractive conditions package that includes recreation and medical leave, and an annual medical examination.
Job Description
About the position
Under general direction, the position of Head of Mission (HOM) Executive Assistant AND Research officer provides high-level executive, administration and organisational support to the HOM. The position also provides research support to the HOM on political and economic matters in Kiribati.
Tasks and Functions
The key responsibilities of the position include, but are not limited to:
- Manage the HOM office, and provide administrative support including translation and interpretation services
- Coordinate the HOM schedule, and make arrangements for HOM meetings, travel and appointments with stakeholders
- Manage correspondence and documentation into and out of the HOM office, determine action required and draft responses for routine correspondence
- Prepare and manage travel programs for the HOM, and assist with the preparation of programs and appointments for visiting officials
- Prepare, dispatch and follow-up on Third Person Notes
- Assist HOM with acquittals and reimbursements of representational allowances
- Provide travel and movement requisition support to A-based and Locally Engaged Staff
- Undertake research on key issues, and monitor and report on relevant information in the local media and parliament
- Maintain up-to-date contact lists covering Government of Kiribati, foreign missions and NGOs, and develop a broad knowledge of Kiribati public officials
- Action requests for protocol courtesies in Australia and diplomatic clearances
- With a broad knowledge of aid projects in Kiribati, evaluate and report on the implementation and acquittal of grants under the Direct Aid Program (DAP)
- Within current policy and guidelines, coordinate and recommend grant applications received under the DAP, for approval
- Monitor the visitor counter, answer incoming calls and undertake delivery duty
Qualifications/Experience
- Proven experience providing high-level support to senior management in a similar or like organisation
- Sound knowledge of Australian and Kiribati government agencies and protocols
- Proven ability to take initiative, exercise sound judgement and prioritise workloads in order to meet tight deadlines
- Well-developed verbal and written communication skills, high-level interpersonal skills and excellent customer service skills
- Strong planning and organisational skills and a demonstrated ability to work under pressure and adapt to different work environments
- Good decision making skills and a demonstrated ability to undertake research and analysis
- Strong computer skills and experience using the Microsoft Office suite of applications and electronic data management systems
Selection Criteria

VISA INFORMATION (International applicants only)
To work at the Australian High Commission, it is a requirement to hold a work permit/visa. The successful candidate has to make his/her own visa arrangement to legally work at the High Commission. The High Commission will provide a supporting letter to facilitate the visa arrangement but will not get involved in or guarantee the process of getting a work permit/visa. The successful candidate is responsible for his/her travel and accommodation arrangements.

In this statement, which should not exceed two (2) pages, you will describe in your own words, why you believe that you are a suitable candidate for the advertised position and how you meet each individual selection criteria.
Statements of claim that do not address all of the selection criteria will not be considered.
The Statement of Claim is the centre piece of your application and should be presented in a concise and focussed manner. In preparing your statement of claims, you must address each selection criteria and should highlight relevant experience and training; you may also include examples of work you have done and demonstrate how your contribution resulted in a positive outcome for your employer.
The STAR model is one way of presenting information against selection criteria. For each criterion think about the following and use these points to form sentences:
- Situation - Set the context by describing the circumstance where you used the skills or qualities and gained the experience.
- Task - What was your role?
- Actions - What did you do and how did you do it?
- Results - What did you achieve? What was the end result and how does it relate to the job you are applying for?
If you find it difficult to identify examples for each duty/criterion, you can still show you understand what is required and how it should be done.

Show that you are well prepared and thorough by ensuring the selection criteria is sufficiently detailed and coherent as well as free of spelling or grammatical mistakes. Where possible, have someone, such as a colleague or supervisor, read over your application before lodging it.
Please note your statement of claims should be written in English. The application is used by the selection panel to assess your writing and organisational skills, as well as your eagerness for the job.
