Procedures for Hosting a Workshop:
Supplies for the workshop you will need:
· Class List (which will be emailed to you following the evening mtg.)
· Host’s Box (incl. Lint roller, (2) extension cords, name tags, (1) household scissors, 1 sheet freezer paper, parchment paper, vinyl gloves, 35 mm camera, note paper, clips for displaying quilts, pins, highlighter, 1 white board marker, Policies and Procedures from the church)
· Lunch Menu
The host is responsible for:
· Insuring that the speaker gets to the workshop location at least 30 minutes prior to start of workshop.
· Assisting the speaker with unloading and set up.
· Taking attendance using the class list and hand out name badges to each participant. Anyone who is not registered must pay immediately. No guests or non-participants are allowed.
· Introducing yourself as workshop helper and giving location of bathroom, no smoking policy, etc.
· Taking lunch orders and money (collect the tax and tip also.) All orders should be taken by 10:00 am (definitely prior to beginning of workshop). Call in the order and ask for 11:30 - 12:00 noon delivery or arrange pick up. Pay the delivery person including tip.
· Using the order list to hand out the orders when the class breaks for lunch.
· Helping the speaker pack and load the vehicle.
· Being the last one out of the room. Checking for lost items. Check all rooms you used – including the restrooms. Turn out the lights.
· Helping to set the tone for the workshop. Making sure everyone feels welcome and included.
Notes:
· Be early to make sure the room and the entrance door is open!
· If you are driving the speaker to the workshop arrange for pick-up no later than 8:30 am from the hotel lobby or other designated location. The speaker must be set up by 9:00 so both of you can be ready to greet students when they arrive.
· Read Church’s policies and procedures to make sure we have complied.
· Check the host box for all items before turning it over to the next person.
· Return the host box (and registration notebook if applicable) to the program chair as soon as possible.
