WHAM Bookkeeper
The Women’s Hockey Association of Minnesota (WHAM) is focused on recreational hockey for adult women. Our mission is to deliver the best overall experience in the market for women at all hockey levels. Our goals are to deliver a fun experience, opportunities to improve, efficient processes, and a sense of community and belonging for all the women in our organization. WHAM is a non-profit governed by a volunteer board of directors and division commissioners. The WHAM membership votes on all matters pertaining to WHAM by-laws and is asked to weigh in on rules and WHAM policies.
Position Overview
The WHAM Bookkeeperworks under the direction of the Treasurer. She pays expenses, makes deposits and withdrawals, enters all transactions into our accounting software, balances our bank accounts, and prepares monthly financial reports from that information. The bookkeeper ensures the accuracy of all accounts. The Bookkeeper shall have power to endorse for deposit and to issue checks and drafts in the name of WHAM as directed by the Treasurer and Board of Directors. The WHAM Bookkeeper will perform the responsibilities detailed below and other duties upon request.
Responsibilities
Financial
- Collect checks and other approved forms of payment from members
- To verify that payments are accurate, and to break out each payment amount into revenue components, as directed by the Treasurer (referee fees, penalty fees, rescheduling fees, etc.)
- Prepare deposits and deliver to the bank in the name of the association
- Collect receipts and invoices to be paid or reimbursed
- Pay receipts and invoices in a timely manner in the name of the association with payment on or prior to the due date
- Ensure proper approvals, addresses and contact information
- Keep accurate financial records and record all transactions and journal entries according to the current financial policies (basic accrual accounting principles) and procedures in consultation with the Treasurer or WHAM accountant
- Assist in the preparation of and monitoring of the annual league and tournament budgets
- Conduct a monthlyreconciliationof every bank account
- Conduct periodic reconciliations of all accounts to ensure their accuracy
- Monitor payables and receivables and escalate potential issues to the Treasurer
- Maintain an orderly accounting filing system including complete digital account of all financial records (receipts, invoices, sales invoices)
- Maintain thechart of accounts
- Draft monthly financial statements to be presented to the board of directors
- Coordinate the preparation and filing of annual taxes (federal and state)
- Liaise with the Treasurer and WHAM accounting firm regarding financial records keeping and compliance to federal, state, and local regulations
- Provide upon request, an account of all her transactions as Bookkeeper and of the financial condition of the association
General Administrative
- Attend 75% of the Board of Directors meetings held monthly
- Attend other committee meetings upon request
- Answer inquiries regarding WHAM financial payments within 48 hours of receipt
- Perform other duties and projects as needed and prescribed by the Treasurer or the Board
Desired Qualifications
- Associate's degree in accounting or minimum of five years responsible accounting or bookkeeping experience including accounts payable, accounts receivable, payroll, general ledger and financial reports
- Solid knowledge of bookkeeping and generally accepted accounting principles (accrual)
- Working knowledge of the QuickBooks online accounting software package
- Proficient in MS Excel
- Ability and comfort working with collaboration and file/document sharing technology (MS Drive or Google Drive folders and documents, virtual meeting and screen sharing applications such as Skype/GoToMeeting/WebEx),
- Attention to detail, confidentiality, thoroughness
- Preference given to WHAM league members
