JOB DESCRIPTION

JOB TITLE: Executive Assistant to Superintendent of Schools

REPORTS TO: Superintendent

WORKS WITH: Central office administrators, board members, certified staff, classified staff, parents and community members

QUALIFICAITONS: Knowledge of office practices and procedures, knowledge of correct grammar, spelling, punctuation, document construction, and editorial enhancement; knowledge of work processing, ability to work independently, ability to detect sensitive situations and respond appropriately, ability to compose correspondence ability to multiplex and work well under pressure, ability to display a positive attitude, promote harmony and model quality principles, ability to maintain professional effectiveness and demeanor.

TERMS OF EMPLOYMENT AND HOURS OF DUTY: 12 month contract; 8:00 to 5:00; 1 hour lunch break and AM and PM break

JOB SUMMARY: Performs a variety of duties to assist Superintendent; serves as administrative aide and confidential secretary for the Superintendent and Board of Education; ensures the Superintendent’s office operates in an effective, efficient and professional manner; acts as an ambassador for the Superintendent’s Office and performs all other related duties.

PERFORMANCE RESPONSIBILITIES:

  1. Maintains Superintendent’s calendar; schedules and arranges appointments and coordinates meetings
  2. Receives and greets visitors
  3. Transcribes dictation; prepares a variety of correspondence, letter, memos reports and other written material
  4. Prepares and organizes materials for Board Meetings
  5. Monitors certification of all certified staff
  6. Prepares monthly newsletter
  7. Prepares enrollment reports monthly
  8. Maintain list of professional, personal and association leaves granted
  9. Maintain completed files of all certified and classified staff
  10. Prepares and submits state and federal reports as mandated
  11. Maintains Board policies
  12. Plans and organizes meetings at Superintendent’s office
  13. Prepares annual personnel directory
  14. Provides public information packets upon request

EVALUATION: Performance of this job will be determined in accordance with provision of the evaluation policy and procedures of the board of education

BOARD RELATIONS: Provides information to board members upon request and attends all board meetings as requested by the superintendent or his designee.

PUBLIC RELATIONS: Presents a pro-active and positive image of the school, students, and staff and fosters the district mission of enabling all students to succeed in an ever-changing world.
