Addendum to Club Bylaws

Potential Ad Hoc Committees

Standing committees are specified in the Club Bylaws as Club Public Relations, Club Administration, Service Projects, Membership and the Rotary Foundation. Additional ad hoc committees may be created and members appointed as needed. The president-elect is tasked with preparing a recommendation for club committees, areas of emphasis and goals for his/her year as president. This addendum includes areas of emphasis for standing and potential ad hoc committees to assist in that effort. Areas of emphasis can be consolidated; committees can be combined. Ad hoc committees can be placed under another Directorship as appropriate.

Service Project Directorship

Community Service Projects Committee – Responsible for projects that benefit our community, and fundraising activities related to those projects.

Health and Water Concerns and Preserve Planet Earth – Identifying a health and hunger and/or water concern in our community and carry out a project or awareness campaign to address.

CART – Collection of contributions for Alzheimer’s research on the first meeting of each month.

Drug/AIDS Awareness – conduct a project focusing on drug and HIV/AIDS awareness and prevention; can include AIDS program for local high school.

Charity Fundraising - Coordinate fundraising activities in support of charitable contributions to the community. All Rotarians are participants on this committee, but special emphasis may be needed in key areas such as tennis tournament, wine tasting, raffles, etc.

Vocational Service Projects Committee – Responsible for projects that promote the worthiness and value of vocations, provide career information, and promote a better-trained, adaptable workforce. Observe Vocational Service month in October.

Vocational Awareness – Promote the worthiness and value of all vocations and provide career information (classification talks, off-site meetings/tours, career days/job shadowing, outside speakers with unique vocations). Promote Vocational (Recreational) Fellowship awareness. Recognize June as Rotary Fellowships Month.

Vocational Excellence – Promote and recognize vocational excellence and the practice of high ethical standards in business and professions. Promote awareness of the Object of Rotary, the Four Way Test, the Declaration of Rotarians in Businesses and Professions. Public Safety (police/fire) awards. W. Lee Arrendale Vocational Excellence Award Nomination. Robert S. Stubbs Guardian of Ethics Award Nomination.

Literacy and Education – Undertaking projects that contribute to the reduction of illiteracy/improvement of literacy among youth and in the workplace. Library donations, books on tape, dictionary project, used books sale, volunteer readers. Observe Literacy Month in July.

Youth Service (New Generations) Projects Committee – Responsible for projects that benefit the youth of our community, and fundraising activities related to those projects. Observe New Generations Month in September.

Interact Club – Determine feasibility and perform coordination needed for sponsoring a high school Interact Club.

Rotary Youth Leadership Awards – Identify and select candidates for the District 6910 RYLA summer camp, and all related activities.

Rotaract Club – Determine feasibility and perform sponsor coordination of a Rotaract Club at a local college.

International Service Projects Committee – Responsible for projects that benefit communities around the world, and fundraising activities related to those projects.

World Community Service – Coordinate our participation in international projects. Recognize February as World Understanding Month.

Group Study Exchange – Coordinate hosting of in-bound team of international visitors. Solicit applications for team leader and members for out-bound teams.

Georgia Rotary Student Program – Coordinate Club involvement with GRSP program, student selection, assist host Rotarian and family with the duties of hosting a student.

GRSP Raffle – Schedule members to conduct raffles at weekly meetings to raise funds to support the GRSP.

Club Administration I and Membership Directorship

Membership Development Committee – Takes positive action to identify and recruit prospective members. All Rotarians are de-facto members of this committee. Coordinate assignment of classification to new members in accordance with Rotary guidelines. Make membership aware of open classifications. Recognize August as Membership Month.

Rotary Information Committee – Inform prospective members about the privileges and responsibilities of membership in Rotary; oversee the orientation of new members during their first year in the club; keep members informed about the history, object, and activities of Rotary at all levels through inclusion of Rotary information in the regular meetings’ order of business. Recognize January as Rotary Awareness Month.

Attendance – Coordinate with Club Secretary to monitor attendance, mail make-up reminders, recognize attendance performance, encourage better attendance.

Fellowship Activities – Schedule and coordinate social functions of the Club.

District Conference – Assist in planning and promoting events related to the annual District Conference.

Family of Rotary – Increase the relevance of Rotary to members and their families

through family-oriented activities; keep the Club apprised of significant events in the family lives of fellow members. Recognize December as Family Month.

Club Administration II and Public Relations Directorship

Public Relations Committee - Provide information to the community about accomplishments of our club, and promote Rotary and service.

Bulletin – Collect and prepare information for the weekly bulletin.

Internet Communications/Website - Responsible for our club website and other communications to keep our club well informed. Special emphasis to encourage all club members to use the website regularly.

Yearbook/Scrapbook - Prepare the club’s yearbook/scrapbook to be presented to the club and displayed at the annual district conference.

Historian – Update Club history records in conjunction with yearbook/scrapbook committee.

Photography - Take pictures of the club’s activities, speakers, members, and other highlights throughout the year.

Magazine - Insure all Rotary club members receive a copy of The Rotarian magazine, and encourage use of them to spread knowledge of Rotary to the community. Observe Rotarian Magazine Month in April.

Programs – Plan, schedule and coordinate programs for regular meetings.

Sergeant-at-Arms - Prepare meeting place by arranging seating, displaying flags/banners/posters, setting up A/V as required by speaker. Welcome members and visitors. (Note – should be at meeting site 10-15 minutes before and after the meetings to coordinate club operation including set-up and take-down.)

Rotary Foundation Directorship

Foundation Programs – Keep the membership apprised of all Rotary Foundation Programs through informational “spots” at regular meetings, in the bulletin and via email. Schedule one or more speakers for the Club each year. Encourage attendance at District-sponsored Foundation luncheons and seminars. Recognize Rotary Foundation Month in November.

Foundation Giving - Encourage giving to the Rotary Foundation throughout the year. Promote awareness of the Annual Program Fund, the Permanent Fund, the Benefactor program, Bequest Society, Major Donor program, Paul Harris Society.

Giving Progress and Recognition – Monitor and report on progress of Club members in Foundation Giving. Provide appropriate recognition as various levels of giving are achieved.

Grants – Coordinate the Club’s involvement in Matching Grant applications, Humanitarian Grant applications, District Simplified Grant applications and others.

Scholarships – Coordinate the nomination of applicants for Grants for University Teachers, Ambassadorial and Cultural Scholars, Rotary World Peace Fellowships.

Rotary Youth Exchange - Coordinate our Club’s involvement in Rotary Foundations’ short and long term International exchanges for high school students.
