HR196: All Positions per UCID

Description

  • HR196 is the only HR report available that can execute a multiple sort to produce a list of employees.
  • HR196 is a base report that offers a wide variety of variables for individualized report development, similar to HR100.

Report Usage

  • Only utilize HR196 when you want to select a group of employees and then identify any other positions they currently hold in other Org units.
  • Once you have executed HR196 to identify employees and their other positions, select the variables and attributes of variables to build the desired report.

Default Variables Entry Screen Exclusions

  • Employees who are withdrawn are initially filtered out of this report on the Variables Entry screen.
  • Retirees ARE NOT Withdrawn; they are Inactive. Emeritus employees remain assigned to their departmental ORG unit. To remove them for the report, exclude Employee Subgroup R2 or Employee Group 8.

Tips

  • The choices listed on the Variables Entry screen determine the employees who will be listed on the report. It DOES NOT DRIVE the choice of the other positions the person has/had at the University. So, for example, if the Variables Entry screen filters out Withdrawn Employees for your Organization, you will get a list of all the employees in your Organization AND all current and prior positions the people held at UC.
  • Within the report, filter out Withdrawn Status if you don’t want to include these positions in your report.
  • If an employee number (PRNR number which is the person in the position, not the position number or “M” number) has been reused when a person transferred to another organization at UC, the old position information will not show up as a line on this report.
  • If an employee has an unlisted phone number, his/her home phone number AND address will not show up on decentral BW HR reports.
  • Currently, only benefits-eligible employee 6+2 numbers are in R/3 and BW. Within the next year all 6+2 numbers will be added to R/3 and then reportable.
  • The Chief of the Org Unit is an attribute via Properties of the Organizational Unit, so it can be added as a column to the right of Org Unit.
  • Do not add subtotals. Due to the way the data is displayed, this could distort the total FTE and salary. FTE% is especially vulnerable because an employee’s FTE is noted on several lines if the employee has additional pay from ADLs and ADMs.
  • The columns listed below are available from the Key Figures Filter BUT should only be added if Wage Type and Pay End Date are also added to the report.

Go To Functions Available (from the right click menu)

  • Display HR Master Data: Use the "Go To" functionality to access PA20 in R/3 for the selected employee.
  • UCIDmust be an active column in the report for the Go To functions to work

HR196 Relationship to Other Reports

  • HR196 reports only CURRENT basic employee information, even if a person was in more than one position during a calendar year. Most of this basic data is available in other reports, especially as Attributes of the Employee.
  • HR196 is a version of HR100, BUT no other report, including HR100, can take a group of employees and add their additional positions and corresponding data without reporting on the entire HR database.

HR196 Relationship to R/3

Since BW data is as of the previous day's business, this report will not include any activity that has posted today in R/3.

Additional Information:

N1 – Spouse/Dependent is a group of spouses and dependents of deceased retirees that were converted from HRMS in order to manage their benefits

N3 – Special is a group of employees who are not paid by UC. Normally they are Visiting Faculty who are paid by another institution and not UC.

N4 – Corporate is a group of contractors and employees of the College of Medicine’s Private Practices who need access to UC Flex plus the Clinical Instructors at University Hospital

N5 – Other is a group of bad records that couldn’t be deleted from R/3 and withdrawn employees
