E-Learning – A Step-by-Step Beginners Guide.
Below you will find a Step-By-Step guide which will enable you to gain a better understanding of how to log in, and complete your e-Learning training. Frequently Asked Questions (FAQ’s) can be found on the final page.
Ø Firstly, open up the e-Learning webpage by clicking the icon which can be found on your Desktop.
Ø Once clicked, you will be presented with the following screen. Please enter your Username and Password. If you do not have these details click on Forgotten Username or Password and enter your Solent email into the second box, your details will then be sent to you.
Ø After you have logged in the below section will be displayed:

Ø To start booking on to courses (both e-Learning and classroom based) click the “e-Learning” link, under ‘NHS e-Learning User’.
Ø Once it has loaded a screen like this will be displayed:
Ø Your Compliance Matrix is on the left, any eLearning modules that you need to complete will be red.
Ø You will be able to see these modules in your Certifications section on the right. To enrol on to a module you will need to find the module, (If it is not on the first page click Next 10) click on the name of the course and this screen will be displayed:

Ø To enrol you will need to click on Choose or Enrol in Class, then click apply on the top right corner of the next page. This will highlight the play button on the right so you will be able to start the training.
i. Starting your online training.
Ø Now that you have successfully enrolled onto the course, you can now begin to complete your e-Learning content. To begin your e-Learning training, you need to click the small play icon, located in the play column. This will then open up another window.
Ø If you get the following error message, ensure you click NO
Ø On the left hand side, you will see a little outline section which will look like the below image.
Ø As you can see, next to the small +, there is a circle. This circle shows you the current status of your e-Learning module. An empty circle means that the module is not yet attempted, a half circle indicates that the module is started but not yet completed, and a full circle shows that the section is complete. Clicking the + sign will expand out the module to provide you with further information, as shown in the next image.
Ø The above shows a breakdown of the ‘000 Using Employee Self Service in ESR’ module. This module is split into 3 sub-categories. ‘000 Manager Your Information’, ‘000 Manage Your Career’ and ‘000 Notifications’. Using the information provided in the previous bullet point relating to the circle descriptions. I can now identify that the ‘Manage Your Information’ section is completed, the ‘Manage Your Career’ section has been started but is not yet finished, and the ‘Notifications’ section has not yet been attempted.
Ø When all of the sub-categories are completed, the overarching module will update to show a full, complete circle. This shows that the e-module is complete. To return back to the home page, click the home icon in the top right corner. ()
Ø When you have returned to the home page, you will now see that the status of the course has changed to complete.
Ø Once an e-learning module has been completed, you can archive this course into your history, by clicking the icon in the ‘Move to History’ column. If you need to check what training you have completed, you can do this by clicking the ‘Learning History’ tab at the top of the page ().

Ø If you need to revisit any of the areas covered on the e-Learning module, you can click the play icon, to run through the content again.
ii. Booking onto Classroom-Based Learning.
Ø Booking onto Classroom-Based Learning is very similar to booking onto e-Learning. Firstly start by searching for the course name, exactly as it is typed on the Learning & Development Intranet. In this example, we will be using ‘Conflict Resolution.
Ø If you require more information about the details and the intended audience of the course, you can click into the underlined Course Name to check to see if the course is suitable for you. If you are already aware of the course and its contents, then you can enrol right away by clicking the envelope button under ‘Choose or Enroll in Class’.
Once you have found a date which is suitable for you, enrol on the class using the ‘Enroll icon’ on the right hand side.
When you have pressed the review button you will be able to see full details of the booking you are requesting. At the bottom of the page, you will see your direct Line Manager under “Approver”.
When you ‘Submit’ your request it will be sent to the above for approval.
Upon enrolling on the course, the date you have requested will show up in the ‘Requested Learning’ tab until your Line Manager approves the request. Once approved, it will show at the bottom in the ‘Current Learning’ tab.
If for any reason you need to amend your approver (E.g. if your direct Line Manager is off sick), you have the option to add an AdHoc approver:
In the approver field, you need to enter your temporary approvers Surname, followed by a %. (Smith% etc) and it will bring up a list of colleagues with that surname. Find the correct approver and select them. It is important to make sure that in the “Insertion Point” drop down, you have your current Line Manager selected, as this will make sure that your request goes to the correct person.
If your Approver is incorrect, please contact the Human Resources Team who can amend this for you accordingly.
Frequently Asked Questions (FAQs)
1. I have forgotten my Username and/or Password. How do I retrieve a new one?
If you have forgotten your Username or Password, there is a log in assistance button on the main log in page. To obtain a new Username, you will need to use the email address linked to your Electronic Staff Record. This is usually your ‘@Solent.nhs.uk’ e-mail account but for some members of staff who are based out in the community, it may be your ‘@NHS.net.’ account. If either of these does not work then please contact Learning & Development, who will be able to source your user name for you.
For password resets, you will need to enter your username, and instructions on how to reset your password will be emailed to your designated email address.
2. I do not have access to a work computer. How can I complete my online training?
If you do not have regular access to a work computer, you will be able to set up remote access so that you can log in at home. This will need to be set up at work via eLearning.
3. I have a problem with my Java or Div X. How can I resolve this?
Unfortunately there are some things which Learning & Development are unable to assist with. If your computer is informing you that Java or Direct X need installing or updating. This is an IT related issue, so you will need to contact CGI on 0345 605 1334.
4. I am trying to complete a module but it keeps crashing/ it says the page cannot be displayed/it will not load properly. How can I resolve this?
Again this is something that Learning & Development are unable to assist with. If you experience any IT related issues like these you will need to speak to CGI on the above number.
5. I do not have time to complete my e-Learning, what should I do?
As of 1st April 2013, e-Learning modules will be replacing large aspects of Mandatory Training (Corporate Induction (CI) and Essential Training Update (ETU)). You should be allocated a set amount of protected time to ensure you are compliant with Organisational, Regional and National Frameworks. Each individual module could take anywhere between 15 minutes to an hour, depending on the complexity and volume of the content.
The mandatory elements of your training which would previously have been covered on CI and ETU, you will be enrolled onto automatically with target deadlines set against them for completion. It is imperative that you meet these target dates not only to meet your specified requirements, but for the safety of yourself, colleagues, patients and others across the organisation.
6. I am trying to book onto a Classroom based course but my Line Manager is incorrect or off sick. Can I amend this myself?
Yes, you can. In the screen with your Electronic Staff Record Line Manager there is an option to “add Adhoc Approver”. You can search by Surname to find the manager you wish to add. Please make sure in the Insertion Point field that you have the current manager selected. If your Line Manager is incorrect, please contact the Human Resources team immediately so they can make the necessary amendments for you.
7. My Compliance Matrix says I am out of date on a module but under my Certifications the due date says I am not. What does this mean?
Anything that is red on your Compliance Matrix you will need to do. The dates under your Certifications refer to when you will need to renew your subscription to eLearning modules. They are unrelated to your Compliance Matrix.
8. I have completed an eLearning module but it is still showing red on my Matrix/it is showing as incomplete. How can I get it to update?
Make sure that the module you need to complete is renewed under your Certifications; if it is not it will not update properly. If you think this has happened to you please call Learning and Development who will be able to update this manually for you.
If the module is showing as incomplete please check you have gone through all sections on the outline as displayed in the image below.
