Board Meeting Minutes

Attendees: Janet Owens, Louise Jordan-Beam, Michelle Thomas, Sandy Foster, Kat Kruemmling, Matilda Johansson and Kelly Beaver

Secretary’s Report - November meeting minutes were approved unanimously. Correction to be noted from October minutes – Currently not all sponsors from last years 5K renewed.

Membership Report - 3 Renewals to start the new year.

Treasurer’s Report – See attached report. Not a lot of activity. November income of $XXXX and expenses were $XXXXX. Some 5K money already shows as income, with none of the expenses recorded yet.

Education Committee – No Report

Events Committee

Winter Jumper Series

·  Michelle and Janet will meet with Journey’s End to verify location of port-a-potty, availability of Jumps and guidelines for jumper shows.

·  Currently not enough jumps available, will have to bring in outside jumps. We will get pegs to utilize hanging the jump poles on the wall.

o  Michelle and Kelly will go over to JEF and evaluate the jump situation to determine what will be needed.

·  Will we have hot food again? janet and sandy will make chili for each of the shows.

The “Elves of Elverson” 5K/10K – December 15th

·  Volunteers are coming together, several members have contacted Seth for hours. Needed additional because of added 10K road crossings.

·  Already more pre entries than last year.

·  The shirts are going to have an elf hat over the “e”

·  Need more water and bananas than last year. Kelly will ask Fay to get extra. Need water jugs for on course at the 10K.

·  Going to get 3 porta pots this year

International Team Fund Raising

·  Veterans Day paper chase went well at Great Marsh Farm about 70 rides.

·  3 Veterans provided military ID for the free ride.

·  Kelly will provide event recap form.

British Riding Club Activities

·  Louise suggested Michelle LaBarre for a winter dressage clinic. She will check into availability and get back to the board with suggested dates

·  Louise also suggested another jumping activity with Linda Furches. In the area usually once a month.

·  Kelly will check into a club sponsored lesson day with David Smith.

·  Michelle confirmed club sponsored lesson days with Patti Thompson for Dec. 15, February 9 and March. Everyone suggested that the march date be 22/23 and do a lesson day and a fix a test. Michelle will contact Patti and ask for her input on that weekend’s structure.

·  What about another Pilates unmounted/mounted activity with Laurie Higgins. We believe wse may have retired but Sandy will inquire if it possible.

Indoor activities

·  Fly Spray and deworming seminar with Fred Sensenig - February 22nd 6:30 pm at Equine Exchange Some discussion on whether we should combine it with a social and do a pot luck with wine & beer.

·  Pasture Seminar in march or early april? Comments that March is already a pretty full month already.

Old Business

·  Possibility of taking on new venues for 2014. Some discussion around just using other venues shows and offer them as point shows. Maybe going back to plantation, fair hill etc.

·  Whysper Wynd is still a possibility. Shall we check into Wyndsor?

·  Discussed sending out a survey to current and previous members to determine the pros and cons of the club to promote and improve membership. Louise will develop the survey and research some free anonymous survey aps. Suggested questions and guidelines were discussed. The BOD approved to give a $55 gift card or free 2014 membership raffle prize and make all who participates eligible to win. The questions and research will be submitted to the BOD to determine the best practice.

New Business

·  Louise and/or Kelly will send michelle the new contact information to do an inquiry again with USDF. Can a non dressage club join USDF and have only some of their members as part of the GMO? Is there a minimum membership required to be considered a GMO?

·  Annual Meeting will be held at Janets House January the 18th. Sandy will work on the evite and committee chairs need to get their reports to Fay.

·  Cherie renewed the clubs affiliation with USEA which sparked a conversation on what is the benefit of being an affiliate club? Louise said she would contact the USEA membership chair to get the benefits continuing to be an affiliate club.
