1. JOB PURPOSE
To help with the manning and effective operation of the front office and reception desk.

Number of Doctors:8 whole time Principals plus three trainees

4. KEY RESULT AREAS
(1) Manning the front desk, logging patients into the appointments system, providing prescriptions and resolving patients’ queries as far as possible.
(2) Answering the telephone, making appointments, logging requests for home visits (including notes and summary sheets)and producing repeat prescriptions. Dealing with other healthcare professionals and agencies as appropriate, passing on messages and seeking advice when necessary.
(3) Electronic filing medical records and reports, results and letters after they have been seen by the doctors and members of nursing staff when appropriate.
(4) Booking ambulances in accordance with the Ambulance Service guidelines.
(5) General administrative duties as directed by the Office & Data Manager.
(7) Ensure that prescription orders are placed on time.
(8) Process repeat eprescriptions
(9) Workflow of results to GP’s via Docman
(10) Monthly coil recall – send out invite letters to patients and ensure that system is up to date.
(11) Ensure accuracy for data input of childhood immunisationentered into EMIS medical record.
(12) Printing off surgery lists each night for the clinics to be held the following day.
(13) Any other takes/duties deemed reasonable by the Office & Data Manager.
5. ASSIGNMENT AND REVIEW OF WORK
Work will be assigned and reviewed when necessary by the Office & Data Manager.
6. COMMUNICATIONS AND WORKING RELATIONSHIPS
Internally: with the doctors and all members of the practice and attached staff.
Externally: with patients of the practice, Fife Health Board, Fife Primary Care Trust, hospitals, ambulance service and other organisations and agencies in support of patient services.
7. MOST CHALLENGING PART OF THE JOB
To answer the telephone promptly and to be bright, cheerful and helpful when dealing with patients of the practice.
To be flexible and able to accommodate the stresses and varying demands of the job.
