Vacation Bonus Leave Payout – Frequently Asked Questions

Q1 / Where can forms be obtained and is there a deadline for submitting the form?
A1 / The Vacation Bonus Leave Payout Request Form is available on the Quick Links section of the Human Resources main web page at The form must be submitted no later than 5pm on May 5th to be included in the payout analysis and to qualify for any potential payout. There is a submission button at the bottom of the form.
Q2 / Are there payout limits?
A2 / ECU has elected to participate in the Vacation Bonus Leave Payout Program. However, funding is limited. ECU will accumulate potential payout hours from all forms submitted, determine a payout ratio, and apply that ratio to all requests. Individual results will be rounded up or down to whole hours only. Calculated partial hours greater than 0.50 will be rounded up and calculated partial hours of 0.50 or fewer will be rounded down. For example, if an employee requests to be paid for 8 hours of vacation bonus leave, and the payout ratio is 60%, the hours to be paid would be 4.8 – rounded up to 5 hours. Any portion of hours that you requested to be paid out that was not included in the payout will remain on your leave record and be available for your future leave use according to ECU and North Carolina state policies.
Q3 / Are there eligibility criteria?
A3 / Eligible employees must have a current vacation bonus leave balance. Employees must also be considered a leave earning employee who would be eligible for vacation bonus leave pay out upon separation from ECU.
Q4 / At what rate of pay will Vacation Bonus Leave be paid?
A4 / Payouts for leave must be paid out at the qualifying employee’s current annual salary on the same basis as a regular vacation leave payout calculation.
Q5 / How can I determine/verify how many hours of vacation bonus leave I have available?
A5 / Kronos users have two options for determining available vacation bonus leave balances:
  • Log into Kronos and us the “My Accruals Information” widget with an “As of” date of 05/31/2017 to identify the number of hours of Vacation Bonus Leave available for payout; or
  • Use the “View Accruals Online” feature on a time clock to view your Bonus Vacation balance on 05/31/2017.
Paper timesheet users can verify balances with departmental timekeepers.
Q6 / If I do not participate in the vacation leave payout program, will I lose my vacation leave hours?
A6 / No, unpaid hours will remain available for you to use in accordance with ECU and North Carolina state policies.
