This is to advise staff that the CWS/CMS Code Drop 6.7 will take place onNovember 17, 2012. There will be several changes to CWS/CMS related Educational Travel Reimbursements, Case Plan Changes related to Educational Stability, Documenting Participation Codes for AB12 Youth, Changes in Supervised Independent Living Placement (SILP), Track Placement Programs, Developmental & Mental Health Screenings, Reopening/Suspending a Closed Case, and Search Sort. The specifics are outlined below.

Placement Notebook
- The SCI Rate section has been renamed “Additional Rate” includes all the previous SCI categories and a new item: Education Transportation.
When Education Transportation is selected the following values are available:
Ed Trvl – Public Trans Flat Rate*
Ed Trvl – Private Trans 4-8 miles ($58 per mo.)
Ed Trvl – Private Trans 9-13 miles ($154 per mo.)
Ed Trvl – Private Trans 14-18 miles ($250 per mo.)
Ed Trvl – Private Trans 19-23 miles ($347 per mo.)
Ed Trvl – Private Trans 24 or more miles (443 per mo.)
*The Ed Trvl – Public Trans Flat Rate will not be utilized because requests for bus passes/tokens are not processed on CWS/CMS.
- Education Transportation is not available when child is placed in:
Group Home
Guardian Home
Kin-GAP placements
- A new field has been added: “Additional Payment End Reason” which is onlyavailable to use in conjunction with Education Transportation. When selected the following values are available:
AWOL/Abducted

- Under the Case Management Services page, 3 new categories have been added to assist staff in documentation of items related to Educational Stability Categories:

These new categories and details will populate the Case Plan document under the Case Management Services section.
- Documenting Participation Codes for AB12 YouthTraining Shot 3
- On the Service Component page of the Case – once a CSW selects Supportive Transition as the service component – a grid called Participation Criteria will appear. The CSW must select at least one of the following participation codes:
NMD - Completing HS or Equiv
NMD -College/Vocational Ed
NMD – Removing Emp Barriers
NMD -Employed Min 80 Hrs/Mo
NMD -Medical Disability
If a service component of Supportive Transition has been entered, CSWs must haveat least one active participation code – or the CSW will not be able to save. Staff will no longer need to document participation codes on the Special Projectspage of the case.
- On the CP Participants page of the Case Plan, current participation codes from the Service Component page will display. They will appear here, and on the Case Plan document. If a participation code has ended, i.e., youth graduated High School, it will no longer display on this page
- Reopening/Suspending a Closed Case Training Shot 4
When reopening a closed case with a suspension reason, and when the Service Component of Supportive Transition is selected, staff will now be able to choose theParticipation Criteria for the NMD. In some cases a NMD might have more than one participation criteria. However, staff will only be able to select one Participation Criteria in this section. Once the case is open, on the Service Component page, staff can select any others that apply.
- SILP PlacementTraining Shot 5
- The new Placement Home type of Supervised Independent Living Placement (SILP) has been added. The SILP is a new and flexible placement type for foster care that was created for NMD’s participating in Extended Foster Care. SILP placements can include:
Apartments (alone or with roommates)
Single Room Occupancies (may have shared bathrooms and/or kitchens)
Renting a room (including from a former caregiver)
Dorms/University housing
Once the SILP placement has been assessed and approved, the entry intoCWS/CMS can be made
- Placement Home must be created first – a new Placement Home type of “Supervised Independent Living Placement” has been added. Create the home from within the NMD’s case. Use the name of the youth as the Substitute Care Provider (SCP). Staff will no longer need to document SILP on the Special Projects page of the placement home.
Reminder:In cases where the youth leaves a SILP and at a later date returns to a new SILP, staff can search for the youth’s name doing a search of SCPs and bring that information into the case rather than creating it again. Once that is done staff needs to make sure that address is updated to reflect the new SILP.
- Ability to Track Placement ProgramsTraining Shot6
- On the ID page of the placement, staff will have the ability to track any special placement programs associated withthe particular placement. New Placement Program Types include:
Dual Agency Placement
Intensive Treatment Foster Care
Multidimensional Treatment Foster Care
Whole Foster Family Home
When the placement ends, the program associated with the placement isautomatically ended.
- Developmental and Mental Health Screenings for ChildrenTraining Shot 7
- A new page has been added to the Health Notebook that will allow staff to document the different types of screenings a child has had and when, referrals forcertain services and Intervention Plan details.
- This new page has two sections “Screenings and Referrals” and “Intervention Plan”
The Screenings and Referrals Section will be completed by the Service Linkage Specialist (SLS) for those related to Mental Health and by the CSW for Developmental screenings and referrals. This section allows staff to document a referral made regarding Mental Health or Developmental issues, where referred to and when, and whether or not the referral was accepted. Consent can also be documented. The Comments field is limited to 254 characters so any comment entered must be brief.
The Intervention Plan section will be completed by the CSW. This section allows the CSW to select either Initial – Mental Health or Developmental Plan, and also Updated – MH or Dev. Plans. The Plan Detail section allowsthe CSW to select the individual components for intervention (multiples can be chosen). The MH or Developmental plan type has its own selections for intervention activities. CSWs should record start dates for all, and if an activity ends, record end date.This information on this page will populate to the HEP.
- Search Sort
Staff will now have the ability to sort any column on a search result page. Staff can just click once on the columnheading you want to sort, it will automatically sort in order, click again to sort inreverse order.This feature will be availablein all search areas.Clicking on a different column will sort on the new column with the previouslyclicked column being a secondary sort.
