ConCentRICs Migration

These are your instructions to move your Facility’s data from the .Net version of ConCentRICs to the Web Based version of ConCentRICs. First you will need a Web Server to host the application. You have several choices

1)RIC Corp can host your Facility on their Web Server for a nominal monthly fee.

2)You can host it yourself on your own Web Server. There are separate instructions for setting up your Web Server. Please follow those directions before proceeding here.

3)There are many 3rd party host providers available. You can sign up with any one of those providers that can host an ASP.NET 4.0 application with a Microsoft SQL Database available.

Once you have a server setup and available you can move your data from your current network server to the web server. The option to Migrate your data should already be on your ConCentRICs .Net Main Menu, but you will need System Administration access to see it. Expand on Utilities on the Main Menu and select Migration to ConCentRICs Web. The Migration Window will appear. Make sure it is the current version. It will say Version 2.2 in the title bar if you do have the current version.

Push the FTP Transfer Control button. This will default to RIC Corp’s FTP Information. Leave the default settings if RIC Corp is going to host your site. If you are being hosted by a third part or your own server then change these FTP settings to the ones that will get you to the server that will host your site. You should push the Test Connections button to make sure you can get an FTP Connection to the Web Server.

The ConCentRICs Web URL needs to be set to the Internet Address that will be used to access your site on the Web Server. This defaults to the RIC Corp address if you are hosting it there, otherwise change it to the appropriate address. You should be able to enter this address in your Web Browser and see the ConCentRICs Login Page.

If you are going to run it on your own web server and it is connected to the current network server through the network, then you can map a drive to it and use the Copy Files to this Directory field instead of using FTP. Just enter the directory you want the files to end up in. It should point to D:\Inetpub\ConCentRICs\<OrgCode>\Documents on your Web Server.

If you are running multiple Organizations in ConCentRICs .Net, then each Organization becomes its own Facility in the Web Version. Each Organization must be migrated separately and only one at a time. The drop down box at the top of the Migration Screen will contain a list of the Organizations found in your ConCentRICs .Net system. Select the one you want to migrate this time. The Organization Code and IACU Number should fill in appropriately for the first Organization, but you will need to get IACU Numbers from RIC Corp for your other Organizations.

The Start Year and End Year will default to all years, but you can limit that if you are only doing a test migration. Don’t mess with the Next Authorization Control Number unless instructed to do so.

All of the Applications that need to have data migrated will be listed. You can do them all at one time, an Application at one time or a group of Applications at one time. Just highlight the ones that you want to migrate at this time. Just click on the application to highlight it or turn it off or use the Select All or Deselect All button on the left.

It is recommended that you do a test migration first. This way you can verify that your data is being migrated correctly and it will give your people a chance to try out. They should verify that they have access to the new system and can get to the options they need to use on a day to day basis and that it is producing the results they expect. Once you are satisfied and are ready to move we will migrate one more time for Production. People can continue to use the system during the test migration, but need to be off during the production run. After the data is migrated for production you should disable that application in the ConCentRICs .Net version so no one enters data there by mistake. After the production run your staff must use the Web version only.

If you have a lot of years of data to migrate you may not want to do all of Applications or Years at one time. You may want to break it into groups especially if you are going to FTP your data to the Web Server. If you are going to do it in groups, then the first two applications: System Administration and Names and Addresses need to be done before any others. Scheduling Administration needs to be done next. Other than that it does not matter what order they are done in, except that Accounting – General Ledger needs to be the first Accounting Application migrated. If you want to break up your years, you can do current year forward to get you going and then go back and pick up the historical years.

Since you can migrate applications individually then you do not have to migrate all of your departments to the new version at the same time. You can move them in phases. Once you migrate an application you will want to disable that application in the .Net version by using the Options pull down menu on the Tool Bar. Select System Controls, push the ConCentRICs Controls button. Push the Disable Selected Applications button and on the right push the Select ConCentRICs Applications and choose the ones that had a production migration. If you did migrate all your applications at one time then you can just select the All Applications Disabled button on the left.

Once you push the OK button no more questions will be asked and the migration will run on its own. You do not have to babysit it. You can start it and leave. If you do watch it run, the bottom of the migration page will show you where it is at in the process.

After the migration files are created they are automatically sent to the Web Server and if the Server’s URL Address was entered in FTP Transfer Controls then the system will be called automatically and the data will be loaded to the Production Database. If the automatic load to the database fails, there will be a button available to install them separately without have to re-migrate them. They can also be installed manually on the ConCentRICs server by using Install<IacuNumber> for your User Name and Admin<OrgCode> for your password.

After the Migration process finishes, it will leave a log file. Since the process runs unattended, it needs a place to let you know if anything went wrong. It is recommended that you look at this log file to see how the migration ran. The log also shows the timings of each step, so you know how long it took. You will find the Log file on the network drive in the \Riccorp\DataNet folder and the filename is Migratelog.txt. You can just double-click on this file and open it with Note Pad. If you run the Database Load option then that is logged in the same directory but in the MigrateLoad.txt file.

Prerequisites

These are things that should be done before you migrate your data.

1)Update .Net Programs – Make sure your .Net Programs are up-to-date especially the Migration program. You can tell if you have the current migration program if it says Version 2.0 in the title bar.

2)Accounts Receivable – Pending Invoices will need to be processed before the final migration. Pending Invoices are not migrated since they are resident on each individual machine. If you do not process them before the migration they will need to be reentered into the new system.

3)Delete out historical items you no longer want such as Incident Reports, Security Logs, Inventory Part Cards, etc. The less you need to migrate the faster the migration will go.

Post Migration Tasks

1)Copy and Paste Html Page Prefix and Html Page Suffix from Exhibitor Control or Internet Calendar Controls into System Administration – System Profile at the bottom of the page.

2)If you are using Pay Flow Pro, you will need to add to the front of your Server Address in Accounting – General Ledger – Accounting Controls – Credit Card Authorization

3)Exhibitor Work Order Report Wizard entries need to be recreated.

4)Security – Incident Reports, if you use Door Master instead of Location, then go to Security Administration – Security Components –Edit Incident Reports, edit the Room Field and change the Application to Security Administration and the Object to Door Master. Save Changes. Then Edit Task Tracking and edit Type changing the Object from Report Type to Security Log Code

5)Labor Control – Set Labor Adjustment Reason, Overtime Category, Holiday Pay Category and Holiday Overtime Pay.
