Job Description

Position: Finance Officer: Payroll & Accounting

Location:Sydney (Broadway)

Reporting to:Financial Controller

Supervising:Nil

Status:Full Time / Permanent

Overall Responsibility

Maintain all MSF New Zealand financial systems and ensure that MSF New Zealand complies with reporting requirements of New Zealand government and agencies;

Operate and maintain MSF Australia’s payroll systems.

Tasks and Responsibilities

Finance

  • Accounts payable/accounts receivable for MSF New Zealand, including staff expense claims
  • Monthly reconciliation of all New Zealand bank accounts including month/quarter/year-end adjustments
  • Complete all tasks necessary for MSF New Zealand monthly financial accounting from trial balance
  • Maintain the MSF New Zealand fixed asset register, including monthly reconciliations and yearly stocktake (if applicable)
  • Perform reconciliations for all MSF New Zealand general ledger accounts on a monthly basis
  • Maintain MSF New Zealand Sales Ledger / intercompanies with other MSF entities (if relevant)
  • Prepare reports for international MSF offices on a monthly basis
  • Assist with tasks necessary for preparation of statutory accounts
  • Assist with tasks necessary for preparation of international accounts when required
  • Prepare tasks required for year-end processes, for review by the Financial Controller
  • As part of the finance team, assist in ensuring all financial processes are followed accurately
  • Any required New Zealand monthly reporting and periodic reporting to Financial Controller and or Head of Finance and Administration.
  • Regular monitoring of New Zealand bank account balances and cash flow
  • Assist auditors with annual audit
  • Management of New Zealand donations-in-kind Register
  • Maintain current knowledge of accounting software package
  • Monthly/annual reconciliation of MSF New Zealand accounting system and MSF Zealand fundraising database

Budgeting and Forecasting

  • Assist with preparation of the annual budget process
  • Assist with preparation of quarterly reviews and monthly ad hoc forecasting

Relationships

  • Responsibility for maintaining relationships with counterparts in Operational Centre’s and the International Office
  • Working with internal departments and liaising with Head of Department’s for month end / budget and forecast processes
  • Liaising with Finance team and Service Centre team for month end processes

Compliance

Ensure all mandatory New Zealand reporting requirements to government departments/agencies are met

Payroll

  • Operate and maintain office payroll (including packaging) and related queries
  • Operate and maintain field payroll and related queries
  • Establish and maintain office and field staff records
  • Maintain and manage payroll system
  • Monthly/annual PAYG Payment Summary reconciliation
  • Monthly payment of staff superannuation
  • Ensuring compliance with superannuation and other legislation (SGC)

Other

  • Have sufficient back up knowledge of the Accounting Office – Financial & Regulatory position
  • Have sufficient back up knowledge of the Management Accounting position
  • Take on any additional tasks or projects as required.

Essential criteria

  • Current right to work in Australia
  • Previous significant accounting experience
  • Previous significant payroll experience
  • Strong communication skills
  • Strong excel skills
  • High level of attention to detail
  • Well-developed problem solving skills
  • Ability to work well in a team
  • Able to work under pressure to meet deadlines

Desirable criteria

  • NetSuite experience
  • SAP experience
  • Preceda experience
  • Tertiary qualification in finance/accounting
  • Not for profit experience
  • Understanding of the New Zealand legislative environment
