Check 5: Team goals, purpose, roles and responsibilities

There are four tasks in this Check. All four tasks are based on the same scenario about teams working on an annual fundraising event. As you work through the tasks, you will learn more about the teams and the event.

You can print this document and write your answers, or you can type your answers in the spaces provided. Remember to save your work to a folder or to your computer or storage device.

Scenario: The annual fundraising event
Most big charities have important annual events. For example, in August the Cancer Council has Daffodil Day, in September the Asthma Foundation has Bubble Day, and in October the RSPCA has RSPCA Awareness Week.
Ann works as a volunteer for a national welfare organisation. For their annual fundraising event, stalls are set up all over the country to sell merchandise such as badges, wrist bands, pens, hats and also to provide brochures. Ann is team leader at the stall in her local shopping centre.

Task 2: The roles and responsibilities of teams

On big days like this there are lots of teams working towards the same goal. The main teams in the charity Ann works for are:
  • Planning and organisation team, which does everything related to planning the big event
  • Mission control team, which coordinates a number of sites and organises the distribution of everything needed for the event, such as the stalls and merchandise
  • Distribution teams, which are teams of drivers who use vans to distribute what is needed at each site and work at the sites as well
  • Site teams, which work at the stalls on the day of the event

Task 3: The roles and responsibilities of team members

As team leader, Ann knows that team members must understand their roles and responsibilities and know what is expected of them. Here is a short description of the members in Ann’s site team.
  • Ann—Ann has worked for the fundraising event for five years. This is her second year as team leader on the stalls. She is very good with details and knows a lot about the charity.
  • Lindsay—Lindsay has worked on the stalls since he retired ten years ago. He is very warm and friendly, doesn’t like to lead but enjoys helping out. Last year he got quite tired working all day, so he is only going to help in the morning.
  • Andrea—This is Andrea’s first time working on the event. She wants to help her community but doesn’t like big responsibilities. She is young and energetic, doesn’t know a lot about what the charity does but knows it helps people.
Weeks before the big day, Ann and her team sat down together and negotiated its roles and responsibilities.
