ANNUAL MEETING

May 7, 2015

MEMBERS ATTENDING:

CALL TO ORDER:

Meeting called to order at 7:00 p.m.

PRESIDENT’S REPORT:

  1. Welcome to the Annual Meeting

REPORTS FROM SPORTS:

1.  Basketball (boys and girls) – Cory Nuest. (Positive Coaching Alliance Workshops)

2.  Girls’ Lacrosse – Dick Pursley

3.  Becker Blast (softball) – Dan Paulson

4.  Drama – Rich Kimmerle (new to BYSA)

5.  Robotics – Russ Girtz (new to BYSA)

6.  Wrestling – Troy Berning

7.  Baseball – Brian Kolbinger/Matt Eigen

8.  Gymnastics – Sherry Hubbard

9.  Youth Football – Mike Walberg (“Heads Up” coaching philosophy)

10.  Except for Youth Football, all sports are seeing an increase in participation. They are also increasing fees by small amounts but are still lower than surrounding communities. Each sport also reported on fundraising.

GAMBLING FINANCIALS: (Sherry Hubbard)

1.  The gambling operations are at a standstill because Gily’s is closed.

2.  Sherry shared the P&L statement, Balance sheet, and Year to Year Comparison.

3.  Net Ordinary Income for the year was $14,867.80. The Year-to-Year comparison shows amounts very close to 2014.

4.  Total income from gambling since the inception is $1,196,199.14. Total Lawful Expenditures was $271,543.15.

5.  All inventory has been returned.

6.  The machines are being stored (we own them).

7.  We must maintain (store) the pull tabs for 3 ½ years.

FINANCIALS: (Mike Walberg)

1.  Balance Sheet (as of 12/31/2014) was shared. There were a few sports with financial information only up to 10/31/2014.

2.  BYSA has a balance of $166,212.08 as an organization.

3.  The Profit and Loss Statement shows a Net Loss of $11,628.43. This is due to the timing of the financials.

OLD BUSINESS:

1.  Insurance – the board has not done anything with this issue (Liability coverage for the sports – Community Ed thinks we have this coverage – it has always been up to the individual sports to have this.)

NEW BUSINESS:

1.  The current board is stepping down for various reasons (no gambling income, longevity of each board member’s term, some of us no longer have a connection to youth sports…).

2.  If no one steps up to take over board positions, BYSA will dissolve in 30 days.

3.  Mike shared how each individual sport can become a 501c(3) organization (packets provided) and talked about which sports would benefit.

4.  Tim discussed the liability insurance concern.

5.  There was much discussion amongst the board and the sports about keeping BYSA as an organization versus individual sports becoming 510c(3).

6.  Sherry will see if we can get a waiver for the gambling license (which is due May 20 - $600).

7.  The next meeting will be June 3, 2015. If there is no interest in moving forward with BYSA and a new board, we will dissolve June 30, 2015.
