POST: Finance Manager

GRADE: MK6 (19,946 - £24,360) or MK7 (£23,569 - £27,959) Dependent on Experience

LOCATION: Academy

RESPONSIBLE TO: Business Director

This post is term time + 3 weeks school holidays

Hours: Mon-Thurs 8.30-4.30-; Friday 8.30-4.00pm (includes 30 mins unpaid lunch break)

Enhancement: Membership to Local Government Pension Scheme

JOB PURPOSE

To support the Business Director in organising and managing the effective provision of financial procedures, processes, services and reporting to the academy, in accordance with academy policies, financial memorandum and audit requirements. The following job description outlines the main responsibilities of the job and is not an exhaustive list of all relevant duties.

PRINCIPAL ACCOUNTABILITIES

  • To observe all school policies, procedures and working practices.
  • To strive towards continuous improvement and best practice to achieve excellent standards of service delivery.
  • To undertake such duties as agreed with the Business Director and carry out such other reasonable duties as may be required.

Finance

  • Operation of PS Financials, including invoices, BACS and cheque processing, and ensuring that all transactions adhere to the school’s financial control systems.
  • Responsible for Purchaseand Sales Ledger, Fixed Asset Ledger, maintaining Aged Debtors records and maintaining credit control procedures.
  • Administer all monies on behalf of the academy and ensure accurate recording and banking
  • Responsible for month end proceduresto include monthly financial accounts and forecasts for Business Director’s authorisation.
  • To produce all financial reconciliations for both main fund and School Fund accounts (bank, credit card, VAT,other) as well as effective information analysis and reports.
  • Overseeing the management of the School Fund and responsibility for year-end procedures
  • Preparation of the end of year accounts to Trial Balance and assist with external auditsand implementation of audit recommendations.
  • Line Management of the Finance Assistant
  • To assist with the development and improvement existing systems, policies and procedures
  • To ensure value for money in all transactions and assist the Business Director in negotiating school contracts when required

Facilities

  • Management of the external hire of academy facilities, including management of MIDAS booking software, credit control, raising invoices, reviewing policies and procedures, liaison will all external hirers and maximising lettings revenue income
  • Responsibility for ensuring hirers adhere to booking arrangement
  • Liaison with the Site Team to ensure good customer service, security arrangements are not compromises and
  • Responsibility for theacademy mini-bus to include bookings, ensuring the appropriate health and safety checks and insurance, MOT and permit requirements are in place. Maintaining records for the hire of additional vehicles.
  • Liaison with external suppliers regarding maintenance issues as and when required.

General

  • To undertake further Finance/Business Management courses to increase awareness and knowledge of the expanding role within schools and to ultimately assist the Business Director with regulatory issues, i.e. requirements of DfE and Audit, Best Value and financial standards.
  • To contribute to the development of systems to ensure the effective running of the Finance Department.
  • To ensure the implementation of the school’s equal opportunities policy.
  • Other responsibilities as reasonably requested and commensurate with the grading of the post.

EDUCATION QUALIFICATIONS /
  • Equivalent of 4 GCSE subjects at Grade C or above including English and Maths.
  • AAT Qualification or equivalent
  • Willingness to undertake further work related training.
