WELCOME PACK AND INFORMATION BOOKLET

WELCOME TO OOR WEE DEN(Dynamic, Educated, Nurtured Children)
Christine and the Teamwould like to welcome you and your child/children to Oor Wee Den.

Our aim is to provide you with flexible, reliable and affordable childcare optionsto support and enable you to work, to attend education, go to training courses or where spaces allow to assist with short notice family commitments such as hospital / dental appointments.

You will be required to register your child/children* each year to enable them to attend Oor Wee Den and to ensure we have all of their vital personal/individual information as up do date as possible – NB. if any details change at any point during the 12 months from one registration to another, it is your responsibility to inform the service at that time.

We will operate our service in the Community Centre in Kilmaurs.

This booklet will provide you with information that you may find useful. Please do not hesitate to contact us at any time if you require any further information.

*£10.00 annual registration fee per child which will be added and payable with first bill every August).
Oor Wee Den is open at the following times –

 School term time

Mon to Fri 0730hrs – 0900hrs

Mon to Fri 1500hrs – 1750hrs

Holidays

Oor Wee Den will operate an Activities Programme during school holidays*, In-Service days and Bank holidays

Mon to Fri 0800hrs – 1745hrs
* Christmas and New Year closure details to follow.

OTHER INFORMATION
NO PERSON UNDER THE AGE OF 16 YEARS CAN COLLECT YOUR CHILD FROM OOR WEE DEN.
In the event of an emergency or your child taking ill, it is important for us to know who to contact. Please let the staff know if you are unable to collect your child and what alternative arrangements you have made.
Parents/guardians should also advise us if a child is not attending due to illness, visiting a friend etc. It is important that we know each child’s whereabouts when they should be attending Oor Wee Den.

Strict closing times will be adhered to at end of each day, parents/guardians should be in attendance to uplift children no later than 1750hrs each evening. If they are not collected by this time we will contact the emergency contact person to ascertain whereabouts and timescales of arrival. (Please refer to fees section regarding late pick –up charges).

If for any reason the emergency contact cannot be reached, we will have no alternative but to contact social services.

Catchment Area

At the moment we can register children from Kilmaurs Primary School and Crosshouse Primary School (however we may in future open up availability to other schools in the surrounding areas if capacity allows).

We will drop off and pick up children at the Platform Area within the school playground each day using the ‘walking bus’ method and will ensure that there are sufficient adults to supervise.

Crosshouse pupils will be collected from designated classroom and brought to OWD by car.

Drop off and pick up (within Kilmaurs) at after school activities such as Rainbows, Beavers etc. can be done by the Service (again by prior arrangement).

Who will manage and operate the service on a day to day basis in conjunction with our Team.

Sessional Staff and suitably appointed volunteers will be recruited/employed as the service grows and needs dictate.

We also work in partnership with the local college to offer placements for Childcare and Early Education Students.
All management and staff will be qualified or working towards appropriate management/childcare qualifications.
In addition we will also ensure that relevant Management, Sessional Staff, Volunteers and Students, undertake training and regular updates on:

Participation Strategy

We will continuously consult with parents/guardians and the children who use our service to encourage feedback and ideas in how to shape our service to suit the needs of all. (Participation Strategy Document will be issued at point of registration with service to give full details).

We also love to invite parent/guardians, friends/family to come along to the Den and run sessions showcasing their skills, in the past we have had Thai Kickboxing, Acro Yoga, Card Making, Science Experiments to name but a few. The children benefit greatly from these experiences so please speak to us about what you may be able to offer, doesn’t have to be a physical or practical skill, simply taking the time to read a story would be appreciated.

HEALTH & SAFETY
Should your child take ill or have an accident within the service it is important to know that there are appropriately trained First Aiders on site at all times who are trained and can respond to any minor emergencies. As the parent/guardian, you will bekept fully informed should any such incident occur.

INFECTIOUS DISESASES
If your child contracts an infectious diseases, please do not send them to the service as this
can affect other children attending.

FIRE DRILLS

A fire drill will be carried out every month in line with Fire Service regulations. Appropriately trained staff will be present to carry these out.

ARRIVAL OF THE CHILDREN
When your child starts the service he/she will be –

 Introduced to the staff and the children.
 Given a tour of the service, and shown all the emergency exits.

 Informed that only staff is permitted to open the main door and to answer the door entry system. Thus ensuring everyone’s safety.
 Shown the different activities, i.e. games console arts and crafts and also the rules about the service.

 Children are not allowed in the kitchen area unless taking part in a cooking / baking activities.
We want your child‘s time at Oor Wee Den to be an enjoyable one .
BREAKFAST/SNACK

The children will receive breakfast when they arrive at the Service before school.

 Cereal

 Toast(with Butter/Jam/Marmalade/Honey
 Fruit
 Milk or Water to drink

The children will receive a small snack when they arrive at the Service after school.

 Crackers and cheese
 Fruit

 Pasta and sauce/ Toast & Beans / Soup / Sandwiches
 Breadsticks, carrot batons etc. and dips

ETC. ETC. ETC.

(Our snack menu is reviewed each term with input from the parents/guardians and children)

If your child has any specific dietary requirements or allergies please let us know as soonas possible.

HOLIDAY PROGRAMME

During the school holidays we offer a wide range of activities and outings. The children are involved in making up their own programme for the holidays.

Here is a list of some of the things that we may do:

 Visit a wide range of parks.

 Visits to the beach (weather permitting)

 Potted sports / Mini Olympics
 Arts & Crafts

 Cookery & Nutritional Education Workshops
 Visits to local historical sites
 Visits by external activity providers such as Owl Magic etc.
And so much more.

All fees include breakfast and/or snack.
Fees will be paid invoiced at the end of each month and should be paid within 7 days.
IT IS VITAL THAT ALL FEES ARE KEPT UP TO DATE.

The fees are as follows:

Short notice bookings can be taken providing a child is registered with the service and there is capacity to accommodate but will incur a surcharge.

Term time

£6.00 for breakfast club session per child

£10.00 for after school care session per child

PLACES BOOKED MUST BE PAID FOR WHETHER YOU USE THE SERVICE OR NOT AS STAFF COVER WILL HAVE BEEN ARRANGED Unless cancelled with 24 hours notice ( e.g. if your child is sick )
Fees are reviewed annually. If any new costs are required or identified, they will be implemented between August and January each year.

NON PAYMENT OF FEES PROCEEDURE
It is strongly recommended that if you are experiencing difficulty with the payment of fees

please contact the service manager to discuss this further. Steps can be taken to try to reach an agreement and help the situation as it arises. However failure to keep payments up to date and if no attempts to speak to the service manager will result in the following:

 All fees are due on a weekly basis unless special arrangements have been made with
the service manager.

 All payment of fees should be set up by Standing order unless discussed with the service Manager beforehand.

 Failure to pay fees will result in the following;
Week 1 service Manager will approach you
Week 2 a letter will be sent to you
Week 3 a final letter will be sent
Week 4 a notice of suspension of service will be issued.
 A letter will be sent one week prior to suspension being enforced.

 Failure to pay at this point will result in you losing your child’s place at Oor Wee Den.

RECOVERY DEBT
If payment of fees is not paid the other alternatives for the recovery will be passing the debt to the debt collecting agency or the small claims court (which could result in County Court Judgments)

This may result in your arrears being passed over to an official Debt Collection Agency thereafter it is out with Oor Wee Den’s control.

SCSWIS (Care Inspectorate)
THE SCSWIS is a national organisation set up to under an Act of The Scottish Parliament (The
Regulation of Care (Scotland) Act 2001) to regulate care services. It took over the regulation of Care services from Local Authorities and NHS boards 1st April 2002.
Anyone providing a care service has to meet the statutory legislation of the grading system set out by SCSWIS. To gain this certificate of registration the service has to provide a high standard and quality of care provision.
The annual inspection carried out by SCSWIS. This evaluation is to monitor the quality of care
provided to the users of the service. The service has to meet the National Care Standards and SSSC relevant legislation.
