Minutes PTA Meeting

Summary/ AP’s.
All PTA members- Photos to be added on PTA web so people know who the team are + include introduction at each PTA meeting to get to know each other and names.
Halloween summary – it was a success raising over £630 pounds after expenses.
Tips for next time:
-Light up Rings were very popular, suggestion to sell these at Valentines disco, potentially for a higher price – two feedbacks could sell better quality for £1.00. On other hand parents would spend more if prices are low and affordable.
-Re-jig the stalls – stalls location is the key as there were several queues and bottlenecks of people. E.g. Cakes in a classroom? Face Painting/ tattoos in different room etc.
-Space on dancefloor – Parents to be encouraged to stand on a side or dance with children. Suggestion to use masking tape to create area where to stand.
-Dancing - Follow that move – suggestion to use projector for you tube moves to a song that children could follow. (e.g. ‘Cha cha slide’)
-Length of Disco – Suggestion to reduce the length of disco as children got tired and parents were happy for it to end. Suggested time 1h 15min
-Face painting– suggestion to have 3 people as this was very popular
-Glittery tattoos– suggestion to have 2 people on as very busy
-Tattoos– consider to also have transfertattoos
-Coffee/ Tea – Parents were interested in coffee/tea, consider to hold stall in a safe space e.g. outside main hall/classroom.
-Coms regarding scary Halloween masks to parents – suggestion to send coms early enough before people have bought costumes.
Christmas Fair – 10th December
The school hall / area will be available for PTA/ parent helpers from 11am.
Children will have school Christmas themed pack lunch in their classrooms.
Important points:
-Layout is important
-Stalls of small priced things for children
-All stalls that were held last year except ‘snowballs’
+ Other stalls (face painting, tattoos, personalised baubles)
Stall plans:
-Grotto – Lucy full ownership. Linda will assists to ensure following years grotto can be recreated
-Father Christmas + Elf – individuals already lined up Details to agree closer to time
-Reindeer food – self serve by Children. Some reindeer food is left over from last year (20-30 bags). Children that prefer prepacked reindeer food – they can purchase these bags.
-Face painting/ tattoos - These to take place after parents arrive to ensure parents are happy for their children to have these. (Volunteers proposed for facepainting – Lucy/ Rae – need to confirm. Tattoos – volunteers required – Mariana is not sure she can make it)
-Biscuit decoration – Gerrie to liase with Koosa to askfor help with running the stall. (normally they help) PTA to provide the ginger bread men and other materials req. Suzanne to buy ginger bread men.
Gerrie to check existing stock before buying – ingredients rquired: icing sugar, sprinklers, food colouring, smarties, bowls, spoons etc.
-Christmas baubles–suggestion to hold a stall with baubles that are predecorated already with ‘Cross Farm’ and ‘Year’, and at the stall name can be written on it. Linda will look into options.
-Year 2 assistance – students from year 2 will be considered to be the second helper on a stall with an adult
-Christmas crackers – any spare kitchen rolls that parents might have and are willing to donate to others – these can be dropped off / picked up at entrance foyer.
-To buy – 2 big tubs of lollies (Suzanne), boys lucky dip prizes e.g. solders, creepy crawlers, mix of different ones –Jo and Mariana
-Plea for fairy lights – Gerrie to put out a plea for fairy lights with which Santa’s grotto would be decorated and then returned
-Refreshments stall – Coffee, Tea, Mulled Wine alcoholic / non-alcoholic, minced pies/ biscuits. AP - Gerrie to ask parent for donations for mince pies/cakes.
Mrs Langston to ask contact in Waitrose for possible donations
-Gerrie to send out Parentmailwith information and set up event on the PTA website.
Christmas Raffle
-We need to start sending letters to the local companies regarding donations for raffle prizes. Emma to locate template, Jo has last years contacts.
-Lottery raffle tickets need to be printed. Agreed on 2000 tickets (1000 less than last year) Emma to own the design and sort.
-Suggestion is to divide the existing list alphabetically and divide among people to approach / write addresses and then go to the local businesses or to post. Gerrie and Jo will look into dividing.
-Anyone that has own business or a business connection could speak to their contacts:
e.g. Mrs Langston will speak to local Waitrose, Rock Steady and Post Office / Linda will speak to Penny Hill Park.
-Last year £80 was spend on stamps but was worth it. This year other options to be explored before.
-Discussion were held regarding how to hold raffle that is speedy and will keep people interested. Suggested 2 people doing the raffle.
Silent Auction
The money raiser. Mrs Langston has got ex Lewis Hamilton trainers size 8.5, she is willing to donate.
Events on Webpage
-Gerrie to enter events on webpage. 1:30 start – 4:00 finish time with a plea for volunteers in particular for times from 1:30 to 3:00pm. After 3:00 generally volunteers come forward, though volunteers for facepaint/ tattoos are required.
-Time slots – these have been discussed. Based on number of volunteers these could be amended, though most likely slots would be from 1:30 – 3:00pm and 3:00 – 4:15pm.
Christmas play at St Andrews Church – 17th December
Concert will take place at St Andrews Church again this year. Jo to speak to the reverend Phil regarding setting up refreshments in the area to the side of the church serving mulled wine and minced pies for adults and squash and biscuits for children – splitting profits with the church at the end.
Children’s Christmas shopping – 17th December
1:30 – 3:00pm. (access from 1:00 pm)
All attendees voted whether to hold the yearly Christmas shopping for parents or not based on some parent feedback received on this topic. All present voted to hold the Christmas shopping as they loved to see children being excited buying presents for their parents. Therefore the decision was to go ahead with the yearly Christmas shop.
Agreed on presents: Chocolate Orange/ Match Makers/ Malteesers /Aftereights. Gerrie will buy these – 80 each to have a few spares for step mums and For dads. Suggested price – stays at £1.50 per present
Licenses
Jo to obtain licence to gamble and to look into alcohol licence.
Other
AP – Need to buy a light for the shed. Security light? Plus more storage boxes.
Mrs Langston Update
-Caretaker decided to retire and will be leaving at the end of December.
-This created a new space for governors to discuss and decide for potential development. Current thoughts a.) nursery/preschool; b.) library, Koosa. This is purely information and down to governors decision based on further information that they currently do not have.
-Caretaker will not be replaced and on site manager/ alternative will be considered.
-Helen Sumner, the caretaker does not wish to have any public send offs and so the plan is Mrs Langson and a parent rep will have a little speech and present a gift to her on behalf of the school, teachers and parents.
-The gift idea is gardening vouchers – collection is yet to be discussed and arranged.
Wrapping
-Wrapping evening – to be held on Monday 30th November from 7.30pm for all parents to help. Lucky dips, parents presents will be wrapped up and other bits prepared.
-Childrens presents from santa– Emma and 2 others will wrap these on another day am. (Thank you!)
Future planning
Bingo & Pizza evening – to be held on Friday 30th January 2016.
Bingo kit needs to be secured. Jules volunteered to be bingo caller.
Next PTA meeting – to be arranged.
