End-Of-SY2012 Communications: iLearnNYC
Dear iLearnNYC School Leader:
As School Year 2012 draws to a close, there are some important steps to take to protect your students’ work and course data, and prepare for School Year 2013.

Final Grades: Schools should not close their iLearn courses until final course grades are entered in STARS.
For all issues and questions regarding your School’s credit, promotion, and graduation decisions for all courses, your Network Academic Policy Point Person is your recommended official resource and authority.
We expect all our iLearn Schools to know about and comply with all standard and required NYCDoE practices on Course Management, Marking Periods, and Final Grade submissions to STARS or HSST.
Archiving Course Data
We recommend that schools archive their student data, in both print and electronic formats. Here is a table with details on how to work with student data from both iLearnNYC and our External Vendors.

Achieve3000 / Teachers can use the usage and performance reports to export data to Excel. They can track the following, for each class:
● How students are using the program
● How students are spending time within the program
● How usage changed over time
● How students are progressing to the 40-activity goal
● Which students are using the program after school and how they are spending their time
● Lexile changes – Summative
● Lexile changes over time
● How students are performing on standards
● Reading performance changes over time
● Which students are on track for College and Career readiness
Apex Learning / On the school side, Teachers will export both the Student Progress Report and the Student Activity Course Report (Grade Book) to EXCEL. The Site Coordinator does the same for the whole school. This school-wide report will list all historical students, for all historical classrooms These worksheets are saved at the School for each School Year.
On the Apex side, Apex will close and Archive all open classes at all schools by August 26, 2013.
Apex Archived data will remain available for five years.
Aries / Teachers export the iLearnNYC Learning Environment gradebook for each course.
Aventa / Teachers export the iLearnNYC Learning Environment gradebook for each course.
Carnegie / Teachers go to the Teacher Toolkit to run and export reports on student progress. There is no exportable gradebook.
Compass / Teachers must run and download reports for each student before they are removed from a class and at the end of the year (once students are removed from a course, it is impossible to retrieve the data!) Here are some of the reports that can be archived:
1 Student Progress Report – this will show every activity completed by each student. It will include their score and the time that it took to complete.
2 Objective Based Test Results – If a teacher implemented a PreTest – PostTest, this will show the results of each test and the growth from Pre to Post
3 Learning Path Status Report – this will display how each student performed on the activities in the learning paths that were assigned by the system based on the student’s performance on the PreTest
Edgenuity (Education2020) / Teachers can run a “Group Progress Report” which can then be downloaded to EXCEL and serve as the class gradebook.
FLVS / Teachers export the iLearnNYC Learning Environment Gradebook for each course.
FLVS Conspiracy Code / Teachers must run and download individual student reports.
Math XL / At the end of the school year, all teachers should export their class grades. A teacher does this by going into the MathXL for School gradebook, selecting Export Data, selecting Advanced Export, and then following the on-screen instructions to export all student results.
Middlebury Powerspeak / Each gradebook view has a "Download Gradebook" link to export it as a CSV file. There are two types, one for the full classroom and another for individual students; the first is only accessible by teachers. It is recommended that teachers export the class gradebook. Individual student records may be exported for additional documentation.
WriteToLearn / Teachers can export a report of their own classes using the Class “Overview” report. The exported file is in comma-separated value format. It provides student performance data on the classes and assignments the teacher has chosen.
Course Closing in iLearnNYC: The Admin Console has a Close Course feature. This will disable further enrollment, and transmit a message to the iLearnNYC Learning Environment and also any external Vendors to disable further student access to the Course. Teachers will still be able to extract student attendance and progress data provided it was an iLearnNYC course. For external Vendors, data must be extracted BEFORE the course is closed or a student is unenrolled,
· After Course Closing: Students will no longer have access to any part of the course. Please make sure you have given students warnings and alerts to submit all required work and complete all content modules, quizzes, assignments, projects, discussions, and communications.
When Schools close iLearnNYC courses, Teachers will still have full access to the course, including student attendance and progress data. For external Vendors, needed data must be extracted BEFORE the course is closed or a student is unenrolled, See Chart above.
· Re-Opening Closed Courses Schools may need to reopen closed courses from the 2012SY. Use the REOPEN feature and all students will be reinstated to access again.
Reusing Courses from SY2012
If an iLearnNYC Teacher has spent a lot of time and effort creating and editing content in a course they used in SY2012, a “clean” version of the course may be copied forward for use in SY2013 using the “Course Derivative” feature in the Admin Console.
The old course will need to be in finalized and closed status
· You will need to have the proper licenses which the old course made use of available for all new students enrolled in the new course.
· The new course will not allow additional content from the Admin Console to be added, but may be freely edited and new modules inserted or created.
· Please use a name for the new course that is different from the original and says FALL 2013 and has the course STARS code info in it.
· Please check the course carefully after copying and report any discrepancies to your IM.
REMOVING (DELETING) COURSES
A detailed explanation of how to remove/delete courses will be outlined in the new Next Generation Admin Console User Manual slated for release on July 31, 2013.
Reusing Content and/or Courses Created with External Vendors
Achieve 3000: Allows teachers to build units specific to their class and curriculum. However, the vendor recommends that, because their content changes every year, it in the best interest of the teacher to modify the units yearly. If a teacher needs to keep the unit from year to year, the teacher can create a custom unit by using the “create new unit” option and then selecting “copy from existing unit.”
Compass: Teachers can save assignments in their archive, and they can assign a stored assignment to students at any time.
Discovery Education: Teachers may create playlists of Discovery content. The teacher center allows for the creation of assessments (T/F and multiple choice), writing prompts, and assignments. This content will be available to teachers for as long as they have licenses.
NBC Learn: Teachers are not able to author content on this site, but they can create playlists of NBC content aligned to a specific lesson, standard, unit, etc. Teachers can download NBCLearn content and use the downloadable NBCLearn player to embed or playback this content without being in NBClearn. These playlists will be available to teachers for as long as they have licenses.
NOTE: It is not possible to save any teacher-created or altered content in the following vendor products:
