SUBJECT: Payroll Change from Monthly to Bi-Weekly

As we relayed last month, Champlain will be moving from a monthly to a bi-weekly payroll cycle for all full-time faculty and salaried staff. This transition will occur in the July/August timeframe.

In advance of this transition, we wanted to share some personalized information as it relates to this change, so that you can better understand its implications and any impact on your benefit deductions, taxes and direct deposits. Here are some items you will want to consider and tasks you need to complete before August 3rd, as the first bi-weekly pay date is August 10th.

  1. You will want to review your benefit deferral amounts.
  2. If you have automatic payments from your personal checking or savings account you should review the timing of these deductions.
  3. If you are depositing to more than one accountyou will also want to revise your payroll direct deposits.
  4. You may want to revise your scheduled payment dates with outside vendors.

We have sent to your home address a copy of this letter with detailed information on your June gross monthly pay and your bi-weekly pay for July 20th and August 10th. (Gross is your pay BEFORE any deductions or taxes are taken out of your pay.) These amounts are as of June 1st and may not include any earnings other than base pay.

June Monthly Gross -Pay date June 21st - normal monthly pay- June 1st thru 30th.

July Gross - Pay date July 20th - 2 bi-weekly pay amounts, July 1st – 28th.

August Bi-weekly Gross - Pay date August 10th – 1 bi-weekly pay amount, July 22nd – August 4th, - this is not a typo, you will be paid again for the week of July 22nd – 28th.

ASSESSING CALCULATIONS:

It is important to keep in mind that to reach your bi-weekly deduction amount, it will not be accurate to simply divide your monthly deductions in half. When being paid monthly, your deductions occur 12 times per year, or once each month. When you are paid on a bi-weekly basis, there are 26 pay periods in a calendar year and 26 benefit deductions occur. For example, if you were deferring $100 into the Health Savings Account each month; the bi-weekly deduction would be $46.15.

We have included a list of items for you to review along with a Task List for your reference. We are offering many opportunities to meet with members of the People Center if you have questions/concerns or need assistance in making some of your changes in Workday. You can sign up for these meeting by going to the Sign-up Genius and selecting a meeting time. All meetings are 15 minutes in length. If you feel you will need more time, please sign up for two meetings back to back. We request you use this opportunity for questions so we may be as efficient as possible in processing this change.
