Job Title: Grants & Operations Manager
Reports: Executive Director
Status:Regular, Full-Time
The Metropolitan Regional Arts Council (MRAC) is a nonprofit organization whose mission is to increase access to the arts in the 7 county metropolitan region by providing information, organizational support and grants. MRAC achieves its mission in three ways:
*As a grantmaker for arts activities initiated by arts organizations with budgets under
$400,000 and non-arts nonprofit groups,
*As a source of non-grant programs and training services, and
*As an advocate for the arts.
MRAC receives funding from the Minnesota State Legislature, the Arts and Cultural Heritage Fund, and the McKnight Foundation as its primary revenue sources.
Job Summary:
The Grants & Operations Manager plays a pivotal role in the organization by maintaining a highly effective grantmaking system through outstanding external and internal communications, customer service and information management skills. The Grants & Operations Manager is responsible for processing electronic data related to all funding requests submitted to MRAC and preparing all applicant/grantee correspondence related to the grant review process. The Grants & Operations Manager will also coordinate semi-monthly accountspayables, assist with preparation of the annual budget, execution of the annual audit and prepare financial reports. Finally, the Grants & Operations Manager also provides general operations support for the organization’s staff and board of directors, including front desk/constituent interface, office systems support, and data and financial reporting.
PRIMARY RESPONSIBILITIES:
Grants Management:
- Manage and support the online grants application and management system for applicants, grantees and staff.
- Provide technical assistance by phone, email or in person to applicants and grantees relative to the submission of online applications and reports.
- Process incoming grant applications and assist in reviewing applications for eligibility; review all grant application budgets to ensure math is correct.
- Coordinatethe disposition of all grant applications, correspondence and notification to applicants and grantees.
- Manage communication with grantees on reporting requirements and grant award agreements.
- Work with Program Directors to track scores from grant review panels and prepare rank summaries of panel discussions.
- Maintain accuracy and integrity of grant data with grants management system.
- Design and create reports in grant interfaces to pull required data.
- Prepare reports for MRAC staff and board as needed.
- Prepare periodic reports to State of Minnesota and other funding sources.
- Coordinate the revision and publication of MRAC annual grants application guidelines and grant interfaces in consultation with staff team.
Operations Coordination:
- Manage accounts payable on a semi-monthly basis that includes tracking expenses; preparing & coding expense reports and credit card logs; preparing checks and grant award payments; recording entries in QuickBooks and coordinating efforts with MRAC Executive Director and contract accountant.
- Coordinate employee benefits administration.
- Assist with annual budget preparation and preparing monthly financial reports.
- Assist in the preparation of financial reports needed for annual audit.
- Ensure that all office equipment operates properly, including computer hardware and software, phone system, copier, postage meter and office security system.
- Perform related administrative duties including process incoming and outgoing mail, assist with on-site and off-siteevents, and support staff in using office equipment, grants management system, procuring and maintaining office supplies and troubleshooting as needed.
- Greet guests to the office and ensure visitors are addressed in a prompt, professional and courteous manner.
- Respond to MRAC’s main phone line and route telephone calls in order to provide excellent customer service.
- Organize and maintain files and record retention.
- Analyze operational standards, goals and policies and recommend improvements.
- Coordinate internal and external ADA compliance.
QUALIFICATIONS:
The ideal candidate will have professional experience in either the nonprofit or public sectors with strong credentials in data management and/or information management systems, nonprofit finance and operations with outstanding interpersonal relationship skills and a track record of excellent customer service to multiple audiences.
Education & Experience:
- Bachelor’s degree in a related field.
- Five or more years of professional related experience with database management, program management and operations coordination in a relevant position.
Specific Qualifications:
- Proficiency with Macintosh applications, MS Office and grant application/management processes or related experience with various databases.
- Knowledge and experience using QuickBooks Online and preparing financial reports for a nonprofit organization.
- Formal training with information technology, databases or grantmaking software.
- Fastidious attention to detail; strong logic and analytical thinker.
- Demonstrated track record as a creative problem-solver and ability to be flexible and adapt to change.
- Ability to manage multiple tasks, prioritize multiple projects and deadlines simultaneously, and stay calm in fast-paced environment.
- Excellent verbal and written communication skills.
- Ability to identify areas where organization’s administrative effectiveness can be improved and take action.
- Ability to act professionally and respectfully with other staff, board members, vendors and individuals representing diverse applicant groups and projects and work collaboratively to achieve mutual goals.
