MINUTES OF FOURTH EXECUTIVE COMMITTEE MEETING OF PPS (2015-16)

(Held on 05-03-2016 at Serena Hotel Islamabad on the occasion of SAARC Psychiatric Conference)

• Fourth meeting of Executive Committee of Pakistan Psychiatric Society (Tenure 2015-16) was held on 05-03-2016 at Serena Hotel Islamabad on the occasion of SAARC Psychiatric Conference.
• Meeting was chaired by Dr Syed Mohammed Sultan, President PPS and was co-ordinated by Dr Imtiaz Dogar General Secretary PPS.

• Following members attended the meeting :

Dr Syed Mohammed Sultan, DrImtiazDogar, Dr Nasar Sayed, Dr Moin Ansari,

Dr Khalid Mehmood, Dr Bashir Ahmed, Dr Naeemullh Laghari, Dr Ghulam Rasool,

Dr Iftikhar Minhas, Dr Ajmal Kazmi, Dr Ayesha Rashid, Dr Sohail Ahmed, Dr Darya Khan Laghari, Dr Mohammed Irfan, Dr Rizwan Taj, Dr Niaz Maqsood and Dr Hamid Rashid.

Dr Mazhar Malik, ,Dr Manohar Lal and Dr Inam Shabbir did not attend the meeting.

• Meeting started with recitation of verses from Holy Quran by Dr Ajmal Kazmi.
• Minutes of last Executive committee meeting were read by General Secretary and got approved by the Executive committee.
• It was decided to send the reminders to those members (especially to those who are repeatedly absent) of Executive committee who did not attend the meeting. Reference of the constitutional clause applicable on absentees would also be mentioned in reminders.
• Dr Nasar Sayed informed that he is in contact with BPPA (British Pakistani Psychiatrist Association) president who has assured all kind of support & co-operation in future activities of PPS.
• Dr Nasar Sayed also informed to the members that (as per decision of Executive committee meeting) he would soon contact all members for test of Electronic balloting procedure and would give the feedback in next meeting for discussion and implementation, if agreed.
• All the members appreciated Prof Syed Mohammed Sultan and organizing committee for the efforts to organize the SAARC Psychiatric conference.
• Dr Nasar Sayed expressed his concern that PPS executive committee members and some senior members of PPS were not given proper representation in the inaugural session of SAARC psychiatric conference and his papers were alsonot properly accommodated in the sessions. He mentioned that Dr Khalid Mufti, Dr Afzal Javed and some foreign participants were not properly looked after. Dr Syed Mohammed Sultan, chairman organizing committee, responded to the concerns of Dr Nasar Sayed by saying that proper representation of Executive committee members was given in the conference however he expressed regrets for not inviting Dr Afzal Javed on stage in the inaugural session. It was agreed that in future conferences this aspect will be taken care of.
• Dr Mohammed Sultan informed the members that “ guidelines for management of perinatal psychiatric disorders” have been prepared by Dr Nasar Sayed. He and other members appreciated the efforts of Dr Nasr Sayed. Dr Nasar informed that soon he will send the soft copy of these guidelines to all members of executive committee.
• Dr Ghulam Rasool, chairman organizing committee of next PPS International Conference, confirmed the dates of conference as 27th —30th October 2016 at Hotel Serena Quetta. He distributed the introductory brochure of the conference in the meeting and informed that he has already started working on the conference and soon will be contacting all the PPS members. He also appealed to all members to propagate about his conference in their respective areas and should also facilitate the co-ordination of pharma industry with Dr Ghulam Rasool for his conference.
• The committee members applauded the efforts of Dr Ghulam Rasool for obtaining the NTN certificate for PPS. Dr Ghulam Rasool thanked all members and informed that he would soon send the copy of NTN certificate to all members of Executive Committee. He informed that Rs 25000/- were the expenses for getting NTN certificate. This certificate will be valid till 31st Dec 2016 and after that renewal would be required. The audit of PPS funds would be required before applying for renewal.
• Dr Bashir Ahmed, treasurer PPS, informed that Rs 1349437/- is now available in the PPS account. Donation from Dr Naeemullah Leghari is awaited (which was given to treasurer after few minutes) and Rs 40000/- will be added on account of membership fee of new members.
• The Executive committee members unanimously agreed on the name of Prof Niaz Maqsood as Election Commissioner for next PPS elections. Dr Niaz Maqsood agreed to this proposal and assured that he would try his best to conduct elections in fair manner. Dr Niaz Maqsood will also choose four Associate members to assist him in the election process.
• The application of Dr Darya Khan Laghari (given in last meeting) for next National Conference at Hyderabad was discussed and approved by executive committee. It was informed that Dr Moin Ansari would be the chairman of organizing committee. He will announce the dates of conference later on.
• Dr Naeem Laghari ,chairman organizing committee of PPS National conference held in Multan in 2015, donated a cheque of Rs 500000/-(Five Lacs) to PPS (Instead of required amount of Rs 300000/-). The president and all the members appreciated and applauded this gesture of Dr Naeemullah Leghari for raising the fund of PPS. Dr Naeem Leghari also requested to executive committee to allow him to spend Rs 1000000/- (Rs 10 Lacs) from savings of his conference onup gradation of his ward at Nishtar Medical College Multan. The members appreciated this gesture and allowed him to spend the mentioned amount.

• Dr Imtiaz Dogar informed the members that he is now maintaining both the websites related to PPS i.e. websites of PPS and of JPPS. He further informed that maintenance expenses for both websites would be Rs 40000/- per year and Rs 10000/- per month would be the office expenditure for this purpose. He also informed that four issues of JPPS are now being published in a year.
• Dr Imtiaz Dogar presented the applications for new membership of PPS. The committee approved membership of Dr Farrukh Hayat Khan (P-176), Dr Tahir Feroz Khan (P-177), Dr Mansoor Rashid Chaudhry (P-178), Dr Najam Akhtar(P-179) and Dr Sabahat Jabeen (S-120). The committee also approved the membership of two applicants as Associate Members including Dr Nasir Jawed and Dr Naeem Mughal. The application of Dr Ehsan-ul-Haq needed proof of registration of his postgraduate qualification in PMDC certificate, for which he would be contacted.
• President & General Secretary thanked all members for participation in the executive committee meeting and meeting ended in the pleasant atmosphere.
