Executive Board Meeting Minutes
December 9, 2014

2nd Vice President, Wendy Learn, called the meeting to order at 6:38 pm. In attendance were:
Officers: Wendy Learn, 2nd Vice President; Karin Wallace, Treasurer.
Committee Chairs & Guests: Rhonda Blake, 2nd grade teacher; Elizabeth Hebden, Hospitality/Yearbook; Amy Jimenez, Green Committee; Raegen Dinelli, 4th grade teacher; Rebecca Bebianno-Vaccani, Holiday House baskets; Mary Patrick, 1st grade teacher; Michael Karabinos, Watch DOGS; Diana Karabinos, Watch DOGS; Jill Hellman, Comrades.
All other officers and committee chairs were absent. Sara Gilliam, PTA President, and Catherine Hines, Principal, were attending the Chesterfield County School Board Meeting to receive recognition for CHES earning the National School of Excellence designation for 2014-16.
Quorum Certification
A Quorum was established.

Officer Reports
President’s Report: (as reported by Wendy Learn)
- Holiday House was a huge success and an amazing event! Thank you!
- Inclusive Schools Week: fingerprint activities, Young Prince Charles performed
- Thanks to everyone who participated in St. Jude’s Walk, Ronald McDonald pull tab collection, Coats for Kids.
- No newsletter this month
- Staff Favorite Things forms available on our CHES PTA website
- Staff Grab & Go holiday breakfast on Friday, 12/12
- Jack Frost Day on 12/16 in the library; winter celebration
- 2015/16 yearbook agreement: should Sara sign even though she’s not president next year? Elizabeth Hebden made a motion that Sara go ahead and sign the agreement; Amy Jimenez seconded. Motion passes and Sara will put the agreement in the mail this week.
Treasurer’s Report: Karin Wallace
- Barnes & Noble brought in $531.82
- Holiday House numbers look good but haven’t received all of the reimbursement requests yet
- Yearbook orders still coming in
- Outreach added $85 to the PTA no lunch card
- Purchased some teacher wish list items: Ziggi document cameras for 2nd grade, pencils for Mrs. Leavey, instruments for Mrs. Harris.

Clover Hill Elementary School Representative Reports
Principal’s Report: (as reported by Wendy Learn)
- Thank you for a wonderful Holiday House event!!
- Ms. Carle has been out of the office for personal reasons; apologies for any delays
- Chesterfield County has an opening for a math tutor for CHES and Swift Creek Middle; position is on Mondays and Wednesdays. Go to CCPS website for more information
- Blizzard Bags activity bags may be put together for possible snow days
- 3rd grade has finished CoGat testing; results not available yet
Committee Reports:
· Family Nights Out – TGI Friday’s on Thursday from 5-8; Five Below on Saturday 12/14 from 11-4, need bake sale items (as reported by Wendy Learn)
· Directory – hopefully will be distributed this week or next week. Limited number of extras for purchase for $5 (as reported by Wendy Learn)
· Comrades – Alberta Smith is interested in our Comrades & Watch DOGS program. Jill’s blog post on the National PTA One Voice! Best Inclusive Schools Week yet; performance went well and the message was well received. Lots of people helped! Yard Sale on 3/21 to benefit Comrades; looking for items. (Jill Hellman)
· Holiday House – Class Baskets were great; only one didn’t sell because it was so expensive. Committee looking into a follow-up online auction for items that didn’t sell. Breakfast went well; no one was turned away. Elf Shop was a huge success. Kids had a great time! (Rebecca Babianno-Vaccani, Karin Wallace)
· Advocacy – Wendy had a meeting with Mr. Helms from the Education Association; it was very educational (Wendy Learn)
· Movie Night – January 23rd at 6:30pm. How to Train Your Dragon 2. Pizza, drinks, concessions will be available for purchase; flyer will go home for pre-orders (Karin Wallace)
· Watch DOGS – Donuts with Dads will be a celebration instead of recruitment since we don’t have any more days available. Will ask Starbucks for coffee donation & will send home flyers/post on Facebook. What to do with Watch DOGS during testing – alternate schedule? (Mike Karabinos)
· Green Committee – Applying for a Walmart sustainability grant. Student environmental cabinet is brainstorming ideas too. Proposal that recent funds from Clothing to Cash recycling program and prize money from Green Schools Challenge be used to purchase Terracycle items to promote “being green”; estimated cost $200. Will bring a formal proposal to the January meeting.

With no further business the meeting was adjourned at 7:18 pm. Our next meeting will be on January 20th, 2015, in the CHES library.
