MEGT Position Description Finance Division/Facilities - National Facilities and Leasing Manager

Objectives of the Division:

The Finance Division is responsible for the MEGT financial accountability framework which includes the management of MEGT Facilities MEGT Facilities, is responsible for approximately 80 sites nationally. The role performs a wide variety of facilities management functions including management of maintenance, contracts, compliance, fitouts, make-goods, lease negotiations etc.

Facilities objectives are to:

  • maintain a cost effective property profile to facilitate our business streams
  • project manage
  • ensure all R&M requests are assessed and resolved quickly
  • ensure that sites are well maintained
  • ensure sites meet compliance requirements and
  • ensure that sites provide a positive working environment for staff and present MEGT appropriately to visitors.

Objectives of the Position:

The objectives of the position are:

  • to manage the leasing arrangements for MEGT’s leased properties including property sourcing and lease negotiations
  • to manage the maintenance of all MEGT’s properties
  • to manage BCA and OH&S compliance for all properties
  • to project manage all property relocations
  • to contract manage key facilities suppliers
  • to manage and develop Facilities staff

Relationships:

  • reporting to the CFO
  • internal relationships with site facilities contacts
  • internal relationships with staff stakeholders who work in our sites
  • external relationships with tradesman, landlords and consultants
  • external relationships with councils regarding compliance.

Selection Criteria:

  • 10 years experience in property or facilities management
  • high level communication and interpersonal skills

Qualifications, Skills and Attributes:

  • diploma level qualification in property or facilities management
  • excellent communication and interpersonal skills (written and verbal)
  • ability to work through a wide range of stakeholders to actieve outcomes
  • proven negotiation skills in lease negotiations
  • knowledge of building practices and trades in relation to R&M & fitout.
  • ability to liaise effectively at all levels both internally and externally
  • well presented with a professional, confident and friendly image
  • demonstrated ability to organise and prioritise with excellent time management skills
  • self motivated and able to take initiative
  • ability to work efficiently and effectively in a team environment
  • strong computer skills with intermediate to advanced knowledge in Microsoft Office
  • knowledge of current BCA & OH&S requirements
  • knowledge of educational compliance requirements would be an advantage as would experience in the education sector.

Responsibilities and Duties:

Including but not limited to:

  • manage the leases for MEGT’s properties
  • source new properties based on business requirements
  • negotiate new leases and renegotiate existing leases at expiration
  • negotiate make-good at exit of leases
  • project manage fitouts including quotes and selection.
  • project Manage site relocations and internal moves
  • manage site maintainance
  • manage the process of R&M requests from staff
  • issue work orders to appropriate tradesperson / maintenance officer
  • liaise with Contractors regarding quotes for repairs, refurbishments, furnishings
  • assist in overseeing the actual maintenance, repairs, refurbishments
  • manage the preventative maintainance process
  • oversight of acess control for all sites
  • submit Facilities Management Rports to the CFO
  • contract administration (e.g. HVAC, lighting, cleaning, security, gardening)
  • ensure compliance with relevant legislation and standardssuch as BCA & OH&S
  • provide recommendations on how to improve the performance of a facility
  • manage resourcing to cope with large property projects
  • authorisation of all facilitiews and leasing invoices for payment

(Note:The incumbent can expect to be allocated duties not specifically mentioned in this document, but within the capacity, qualifications and experience normally expected from persons occupying positions at this level.)

Hours

  • standard hours are 8.40am to 5pm, Monday to Friday
  • before or after hours work may be required for special projects or emergency issues.

Key Performance Indicators

KPIs ill be developed with the successful appluicant but will be centered around

  • turnaround requirements for all facilities requests logged
  • completion of monthly facilities reports within the deadline
  • management of jobs within budget.
  • negotiated savings on new leases or expired leases
  • relocations managed within timeframe and within budget
