SPECIAL SCHOOL BOARD MEETING
The Board of Directors of Coos Bay Public Schools met on May 8, 2007, in the Community Room at Milner Crest Education Center, 1255 Hemlock Avenue, Coos Bay, Oregon, for a Special School Board meeting. The purpose of the meeting was to meet with OSBA consultant handling the Superintendent’s search. Chairman Don Blom called the meeting to order at 5:05 p.m.

Also in attendance were Steve Lamb, OSBA consultant, and Mary Bjornerud, Superintendent/Board Secretary.
Don Blom called the meeting to order at 5:05 p.m. He thanked the Board and eight other screening committee to this very important meeting. Kathy said we had 100% positive response from those who were asked to be on this committee. She also talked about the confidentiality.
There are 11 application files Steve Lamb brought down to be reviewed. He gave each one a personal file for their notes and ratings. Those will be left here with the application files so the information does not leave the building. This training part is a public session. The actual review of the applications will take placed in Executive Session. Steve also expressed the need for utmost confidentiality. The confidentiality agreement needs to be signed by other than Board members, because theirs come with the job.
This is one of the steps of the process. He reminded the committee that they will see the best possible “face” of each candidate. Other pieces such as reference checks and interviews also must be considered in making a final decision. The rating sheet contains the qualities and qualifications set by the District. It is a form, but not necessary to use. Steve recommended that, if we did not use this particular form, but you must use something in order to remember them all.
The yellow form is for the committee to keep track of which files have been reviewed and which ones remain. The green form lists Do’s and Don’t. Do not discriminate against anyone because of age, race . . . and Do not call either the candidates or their references. The goldenrod sheet is each one’s top candidates and will be faxed to OSBA as soon as completed. He has asked for 4 or 5 candidates from each one.
Steve estimated it would take about four hours to read the files. He said that, if anyone felt they could not devote the time, they not read any.
Look not just at their qualifications but also the waya they presented it to the Board. Is it easy to read and understand?? A reminde3r that they are screening not to hire yet, but to interview. He also reminded them that the files are not yet public record. They are on loan to CBSD and Mary will check them out to each one.
Steve collected the confidentiality agreements. Don Blom declared the meeting to be in Executive Session at 5:25 p.m. Steve passed out application files to be reviewed. (recording stopped). After members reviewed several files and had asked questions, they left at will. They will inhdividually return over the next three days to complete their screening process.
