2The CSBA Travel expenses scheme is being continued for 2016 and a claim form is attached; this form will also be available online from the CSSC website in due course along with the CSBA Travel expenses Guidance Notes.

It is recommended that details of matches that you attend and for which you will be claiming the costs of travel should be entered on the form immediately after the match rather than at the end of the season to avoid errors or omissions. In 2015, processing claims was delayed due to several errors including:

  • failing to enter the details of official passengers in Section 5 despite claiming for their mileage in Section 3;
  • failing to enclose receipts e.g. for hotel and other costs;
  • entering your name in Section 6 instead of the name of the member who shared a room with you.

If you require payment by cheque, although there is now no need for you to provide a self addressed stamped envelope, it is hoped you will agree to payment by bank transfer as this is much easier and quicker to process as well as being cheaper.

As your claim will not be processed until after the last English match (E11) has been played, do NOT submit it during the season.

Although the CSBA 2016 Special match qualifies as an approved match for the purposes of the Travel expenses scheme, the costs of attending Tournament cannot be claimed under the Travel Scheme.

3You may apply to play in any match that has been approved by CSSC. Details of the approved matches for English CSBA and CSBA (Wales) are attached. Any application to play in these matches must be sent to the appropriate Match Secretary. See also the information on Page 2 of the English match application form.

All CSSC members taking part in the event are covered by CSSC Sports and Leisure Public Liability Insurance. Please note that this policy is NOT a Personal Accident Policy. Members are encouraged to take out their own insurance policy.

The CSBA reserves the right to cancel the event if there are insufficient entries.

Entries must be submitted by 1st May 2016. Late entries may go on a reserve list.

The Organiser’s decision on all matters is final.

The format is likely to be a game of 21 ends between 2 teams drawn from those selected to play. The top rink players from each side will receive a prize. Dress code is Whites.

NOTES

This Claim Form should be used by CSBA members taking part in CSSC approved events (including the CSBA Special match) organised byCSBA or any of the National Associations (ECSBA, SCSBA, CSBA (W) and CSBA NI) to claim for the travel costs incurred attending those events, including carriage of passengers and, where appropriate, overnight accommodation.

If there is insufficient space on the claim form, please continue on a sheet of plain paper, if necessary.

You are advised to read the CSBA Travel Expenses Guidance Notes in full before completing the claim form.

The total expenses payable will not exceed the maximum amountsas set out in the current CSBA Guidance Notes but may be less depending on the total amount being claimed by all members.

Applicants must make every effort to ensure that their travel and accommodation arrangements are cost-effective and necessary.

Please note that there is no space to calculate your total claim. This is deliberate; the CSBA Assistant Treasurer, Jim Wilson, will work out your claim based onCSSC mileage rates and according to the guidelines about what can currently be claimed.

CSSC (or NICSSA) membership numbers must be recorded. Checks will be made to ensure that claims are only paid to, or in respect of, persons who were paying members at the time of the event.

Your claim with all receipts attached should be sent to the CSBA Assistant Treasurer, Jim Wilson, in the period from 14th September 2016to 13th October 2016. Late claims CANNOT be accepted.

CSBA Travel Scheme

General

These notes are intended to help CSBA members when completing claims for financial assistance for travelling to play in matches.

Who can claim?

CSBA members may claim for travelling to play in qualifying matches.

What is a qualifying match?

Each year CSSC approves a list of matches arranged by the National Associations in England, Scotland, Wales and Northern Ireland including the CSBA Special Match. These are the qualifying matches.

How to claim

Before the season begins, your National Association sends you a claim form with the match application form for its qualifying matches. A copy of the claim form is also available from the CSSC website along with Guidance Notes about completion of the claim form.

Completing the claim form

You should enter the following details on the claim form in the boxes provided:

Section 1Your personal details including your name and address.

Section 2Your bank details if you would like payment to be made by bank transfer. If left blank, payment will be made by cheque to your home address.

Section 3The match number, date and postcode of each of the venues when you used your car to travel to matches, indicating the type of car engine (petrol or diesel). If you had any official passengers, enter “Yes” in the box; otherwise enter “No”. Finally enter the total mileage for each return trip.

Section 4The match numbers, dates, postcodes and type of public transport used of each of the venues that you travelled to using public transport.

Section 5The match numbers, dates, pick up postcodes and names of official passengers with their membership numbers.

Section 6If you qualify for reimbursement of accommodation costs, enter the match numbers, dates, B & B rate, name of the hotel that you stayed in; also the names of any other CSBA member who shared a roomwith you as well as their membership number.

Section 7Declaration that you MUST sign and date.

Please note that there is no space for you to calculate the amount payable, as the CSBA Treasurer will do this based on the details you have provided.

When can claims be submitted?

CSBA has to work within a grant from CSSC. Once the maximum total amount that would be payable to all claimants is known, if it exceeds the amount available, each claim will be scaled down. It is for this reason that not only will claims made before start date not be processed until after that date but also late claims made after closing date cannot be accepted.

The start date will be the day following the last ECSBA match of the season, usually during September, and the closing date4 weeks later. Both dates will be clearly stated on the claim form.
