Personalized Plate Exchange Menu Procedures and Instructions

The Personalized Plate Exchange Menu is found by going to the County Functions Menu and enter 1 (Registration Processing Menu).

Next, enter 21 (Personalized Plate Exchange Menu) on the Registration Process Menu.

Menu Option 1: Exchange of same vehicle type in registrants name, old vehicle has not been sold

1.The system will take you to the plate/decal replacement screen where you will enter the personalized combination and deliver a "SAM Plate" to the vehicle that currently has the personalized plate on it. Fees are $2.00 for replacement plate, $.50 for reflectorized plate and $.50 for replacement decal. The fees will not be collected here. You will receive a receipt but the fees will be passed to the total fees screen.

2.The system will then take you to the registration correction. A screen will come up with question: ‘Is inventory to be deleted for replacement plate or validation decal.’ Y or N. (Ex: N for personalized plate, it already exists, and Y if issuing new decal). Next screen you will enter the "SAM Plate" for the vehicle the personalized plate is being delivered to. It is imperative that you enter PN in the replacement registration type. If you do not, the personalized replacement plate information will not be sent to the state and the record will not get updated properly. The "SAM Plate" currently registered to the old vehicle not sold has to be surrendered. Enter a valid decal number and the personalized plate combination including the county designator. Press "Enter" and the fee screen will appear. The fees to be entered are; $.50 in replacement decal field if new decal entered, $1.50 in transaction specific (transfer fee) and $3.00 in county service fee. Do not collect the fees here.

3.The system will then take you to the total fee screen where each application will be displayed with total amount of each application listed and the total amount due for multiple transactions. Collect the computed total fees amount. Enter amount received on the screen, just as you do for multiple renewals, press "Enter" and the transaction is finished. There will be a receipt for each transaction completed.

Menu Option 2: From auto to light truck in registrant’s name, old vehicle has not been sold

1.The system will take you to the plate/decal screen replacement. Enter the auto personalized combination. The system will automatically check the reservation file to determine if the plate combination has already been reserved by someone else. If the combination has already been taken, a message ‘Plate Number is Not Valid’ will appear. If no one has the combination, the transaction will proceed. Deliver the "SAM123" plate and decal to the vehicle. The fees are: $2.00 replacement plate fee, $.50 reflectorized plate fee and $.50 replacement decal fee. A receipt will print.

2.The system will then take you to a screen that requires you to enter a valid vehicle type. Enter LT and press "Enter".

3.The system will then take you to a Registration Correction screen. The first registration correction screen has question: Is inventory to be deleted for replacement plate or decal? The next registration correction screen will require you to enter the light truck “SAM123" plate number and put PN in the replacement registration type and press "Enter". Enter the new decal number and the personalized plate combination in the reissued plate field. Next, go to the fee screen. Enter $.50 in the replacement decal field, $1.50 intotransaction specific (plate transfer) and $3.00 county service fee. A 12M regular weight strip needs to be placed onto the personalized plate.

4.The system will then display the total fees screen. Collect the fees. A receipt will print individually for each transaction. Each transaction will show individually on you “End Of Day” report.

Menu Option 3: From Light Truck to Auto in Registrants Name

1.The system will take you to the plate/decal replacement screen. Enter the light truck personalized combination and deliver a "SAM123" plate and decal to that vehicle. Fees are: $2.00 replacement plate fee, $.50 reflectorized plate fee and $.50 replacement decal fee. Do not collect the fees here, they will be passed on to the total fee screen.

  1. The system takes you to the personalized plate application where you will do a "No Fee" application. Enter the "SAM123" plate that is currently on the auto. The system will scan the reservation file. If the plate has previously been reserved as an auto by another person, the exchange cannot be completed. Simply press "Cmd 7" enter the money amount on the fee screen and void the plate and decal application on the void transaction screen. If the auto combination has not been reserved, the application will be accepted.

3.The new total fee screen will be displayed and each application will be listed. Collect the fees and press enter. The applications will be listed separately on your "End Of Day" report.

4.The light truck personalized plates must be surrendered and scrapped.

Menu Option 4: From Heavy Truck to Light Truck or Light Truck to Heavy Truck

1.The system will take you to the plate/decal replacement screen. Using the personalized combination, deliver a "SAM123" plate and decal to the truck with the personalized plate on it. Fees are: $2.00 replacement plate fee, $.50 reflectorized plate fee and $.50 replacement decal fee.

2.The system will then take you to a screen that will ask if you want to process a refund (Yes or No). If you answer "Yes" the system will take you to the refund screen. Using the standard plate just issued to the truck, on the plate/decal replacement screen, process a refund for the truck. If you answered "No" to the refund question, the system will take you to the registration correction screen.

  1. The system will take you to the "Registration Correction" screen. The next registration correction screen has question: ‘Is inventory to be deleted for replacement plate or decal?’ The next will be to enter the "SAM123" plate number of the truck that you want to deliver the personalized plate to. Be sure to enter "PN" for the replacement registration type to allow the PN plate to be entered. Enter a new decal and then the personalized combination into the reissued plate field. Make sure all owner information is correct and press "Enter". On the fee screen, you will enter $.50 replacement decal, $1.50 transaction specific (transfer fee)and $3.00 county service fee. Do not collect fees here.

4.The system will then display the total fee screen. Collect the fees. A receipt will print individually for each transaction. Each transaction will show individually on the "End Of Day" report.

Menu Option 5: Replace a Lost or Stolen Personalized Plate:

1.The system will take you to the plate/decal replacement to deliver a "SAM 123" plate to the vehicle of the personalized plate. The customer must surrender whichever personalized plate not lost or stolen. The fees are $2.00 replacement plate fee, $.50 reflectorized plate fee and $.50 replacement decal fee. Do not collect fees here, the fees will be passed on total fees screen.

  1. The system will take you to the personalized plate application screen where you will process a "No Fee" application. The applicant must select a slightly different lettering (ex: ‘Mine’ replaced with ‘Mine 1’). Do not collect fees here, the fees will be passed on to the total fees screen.
  1. The system will display the new total fees screen. Each application will be displayed on the screen. Collect the fees. A receipt will print individually for each transaction. Each transaction will show individually on the "End Of Day" report.

Menu Option 6: Replace Damaged Personalized Plate

1.The system will take you to the plate/decal replacement screen where you will deliver a "SAM123" plate to the vehicle of the personalized plate. Fees are: $2.00 replacement plate fee, $.50 replacement decal fee and $.50 reflectorized plate fee. Do not collect fees here. A receipt will be printed and the fees will be passed to the fees screen.

  1. The system will take you to the personalized plate application screen where you will apply for a "No Fee" personalized same lettering plate. Using the "SAM123" plate that was just issued, apply for the personalized plate with the same combination. The system will run a name comparison on the reservation file. If the name is the same, it will allow the special plate application to proceed. The applicant must surrender both personalized plates.
  2. The system will then take you to the total fees screen where each application will be displayed. Collect the total fees. A receipt will print individually for each transaction. Each transaction will show individually on the "End Of Day" report.

Menu Option 7: Personalized Plate to a Different Owner

1.The system will take you to the plate/decal replacement screen where you will issue a "SAM123" plate to the vehicle with the personalized plate on it. The fees are: $2.00 replacement plate fee, $.50 reflectorized plate fee and $.50 replacement decal. Do not collect fees here. The receipt will print and the fees will be passed to the fees screen.

2.The system will then take you to a new screen that will ask the question ‘Do you want to process a refund?’ If you answer the question with "Yes" the system will take you to the refund screen. Use the SAM123 tag just issued on the plate/decal replacement screen. The SAM123 plate refund will be a CMD10. You will receive a refund receipt, however, the refund will not be displayed on the total fee screen. If you answered "No" to the refund question, the system will bypass the refund and take you to the next application.

3.The system will take you to a new relinquishment screen. Enter the personalized combination. A screen will appear with the current personalized plate owner listed at the top. Enter the name and address of the new personalized plate owner in the space provided. After entry of the new owner information, press "Enter" and a fee screen will appear charging $40.00 transaction specific and $3.00 county service fee. A receipt will be printed. The state copy of the receipt will be stapled onto the original title and sent in with the application for title. Do not collect fees here. They will be passed to the final fees screen.

  1. The system will then take you to the original title screen. This is the only place in the system where you can complete an application on an original title with vehicle type registration type of "AU-PN", "LT-PN", "MC-PN", "HT-PN", "AU-PD", “LT-PD”, or “HT-PD”. (Ex: enter vehicle type "AU" Reg type "PN" and hit "Enter"). Complete the original title information, as you would any other original title application. The personalized plate (ex: CAROLYNSN) combination is to be entered into the plate field and a new decal is to be entered. There is no inventory control on the personalized plate. There may be inventory control on the decal if a new decal was issued. The next screen to come up to ask: ‘Is inventory to be deleted for the personalized plate and the decal?’ Y or N. (ex: N for personalized plate, it already exists, and Y if issuing new decal Do not collect fees here. They will be passed onto the total fee screen.
  2. The system will take you to the total fees screen. Each application will be displayed on the screen for review with the exception of refunds, which will never be displayed on the screen. Collect the fees, press "Enter" and the transaction has been completed. A receipt will print individually for each transaction. Each transaction will show individually on the "End Of Day" report.

Menu Option 8: To Newly Acquired Vehicle, Old Vehicle Not Sold

1.The system will take you to the plate/decal replacement. Using the personalized plate combination, deliver a "SAM123" plate to the vehicle the personalized plate is currently registered to. Fees are: $2.00 replacement plate fee, $.50 reflectorized plate fee and $.50 for replacement decal. Do not collect fees here. They will be passed to the total fees screen.

  1. The system will now take you to the "Original Title" screen where you will enter vehicle type and reg type of "PN or "PD" and press "Enter". Enter the personalized combination in the plate field and issue a new decal. Enter the vehicle information. Enter. The personalized plate (ex: CAROLYNSN) combination is to be entered into the plate field and a new decal is to be entered. There is no inventory control on the personalized plate. There may be inventory control on the decal if a new decal was issued. The next screen to come up to ask: ‘Is inventory is to be deleted for the personalized plate and the decal?’ Y or N. (ex: N for personalized plate, it already exists, and Y if issuing new decal. Do not collect fees here. They will be passed onto the total fee screen.

3.You will then be taken to the new "Total Fee" screen where all of the application will be displayed. Collect the fees, press "Enter" and the transaction has been completed. A receipt will print individually for each transaction. Each transaction will show individually on the "End Of Day" report.

Menu Option 9: Registrant's Name Change

1.The system will take you to the plate/decal replacement screen to replace the personalized plate with a "SAM123" plate on the vehicle. Fees are: $2.00 replacement plate fee, $.50 reflectorized plate fee and $.50 decal replacement fee. Do not collect fees here. The fees will be passed to the next application.

2.The system will then take you to the new screen which will ask the question, ‘Do you want to process a refund?’. If the answer is "Yes", using the "SAM123" plate just issued, complete the refund application on the vehicle. The refund will generate a receipt but will not be displayed on the new total fees screens. If the answer to the question was "No" the refund screen will be by-passed and you will go to the next application.

  1. The next application will be the "Original Title" screen. Using the vehicle type and a registration type of "PN" or "PD", enter the personalized combination remembering to always use the county situs at the end of the combination (ex: CAROLYNSN) and a new decal. There is no inventory control on the personalized plate. There may be inventory control on the decal if a new decal was issued. Enter the vehicle information. Hit enter. The next screen to come up will be to ask: ‘Is inventory to be deleted for the personalized plate and the decal?’ Y or N. (ex: N for personalized plate, it already exists, and Y if issuing new decal. Do not collect fees here. They will be passed onto the total fee screen.

4. You will then be taken to the new "Total Fee" screen where all of the applications will be displayed. Collect the fees, press "Enter" and the transactions have been completed. A receipt will print individually for each transaction. Each transaction will show individually on the "End Of Day" report.

Menu Option 10: To Currently Owned Vehicle, Old Vehicle Sold

1.The system will take you to the plate/decal replacement screen where you will deliver a "SAM123" plate to the disposed vehicle. The fees are $2.00 replacement plate fee, $.50 reflectorized plate fee and $.50 replacement decal fee. Do not collect fees here. They will be passed to the total fees screen.

2.The next screen will be: "Do you want to process a refund?". If the answer is "Yes", using the "SAM123" plate just issued, complete a refund on the disposed vehicle. If the answer is "No" to the refund, the refund screen will be by-passed and you will go to the next application.

3.The next screen will be the "Registration Correction" screen. The first registration correction screen will have question: “Is inventory to be deleted for replacement plate or validation decal?” Y or N (ex: N for personalized plate, it already exists, and Y if new decal is to be issued). On the next registration correction screen using the "SAM123" plate, on the currently owned vehicle, enter the personalized plate of the currently owned vehicle in the replacement plate field. Remember to enter "PN" in the replacement registration type, to ensure the plate records are updated accurately. After verifying the owner and vehicle information and issuing a new decal press "Enter" and at the fee screen, you will need to enter the following fees; $.50 decal replacement, $1.50 transaction specific (plate transfer) and $3.00 county servicefee.

4.You will then be taken to the new "Total Fee" screen where all of the applications will be displayed. Collect the fees, press "Enter" and the transactions have been completed. A receipt will print individually for each transaction. Each transaction will show individually on the "End Of Day" report.
