Instructions forImporting Data intoLearning Connection
(Extracting Data using PowerSchool)
If you have not been approved as an administrator you will need to join the administrator group:
Go to
Click Join group
You have to wait to be approved
Once you have been approved click files tab for the import files layout, choose “Data Schemas/ File Upload Formats.xls”. If you do not have PowerSchool, you will need these documents to create your import files pulling data from your Student Information System.
Create teacher file (subsequent years you will need to do this only for new teachers)
- In PowerSchool Export teachers
- Log on to PowerSchool as an administrator who has permission to access Direct Database Export (DDE)
- Navigate to DDE
- Click on System under Setup (Left hand side)
- ChooseDirect Database Export (DDE)
- Current table: Teachers(5)
- Select all records
- Click Export Records
- Choose the following fields
- [39]in_schoolnumberprefix
- IN_SPN
- Last_Name
- First_Name
- Submit
- Excel should open with the resulting spreadsheet. There may be staff that are not teachers in the spreadsheet; delete staff who will not be accessing Learning Connection
- Delete heading (Row 1)
- Save as a csv file
- Click on File; choose Save as . . .
- Scroll through the Save as type: to find CSV (Comma delimited) (*.csv)
- Click Save
- Import teachers to Learning Connection
- Logon to Learning Connection using
- Navigate to Import Data
- Click on Administration in the upper right
- Click on School left side
- Choose your school
- Click Imports tab
- Click Import Data button
- Browse for file you created in Step 1.k
- Choose File Type: Educator Import
- Choose File Format: Comma Delimited
- Click Upload file button
- Refresh browser until import is completed
- Correct any errors; resubmit
- When completed with no errors, Click on Download Output file (Contains Registration Codes for the teachers)
Create Student files (subsequent years you will need to do this only for new students)
- In PowerSchool Export students
- Log on to Power school Navigate to DDE
- Current table: Students (1)
- Select all records
- Click Export Records
- Choose the following fields
- [39]in_schoolnumberprefix
- State_StudentNumber
- Last_Name
- First_Name
- Submit
- Excel should open with the resulting spreadsheet. There may be staff that are not teachers in the spreadsheet; delete staff who will not be accessing Learning Connection
- Delete heading (Row 1)
- Format STN to accept leading zeros
- Highlight Column B (STN – state_StudentNumber)
- Right click on Column B
- Choose Format cells
- Choose Number Tab
- Choose Category: Custom
- Type: should be 000000000 (9 zeros)
- Save as csv file
- Import students into Learning Connection
- Logon to Learning Connection
- Navigate to Import Data (AdministrationSchool OLMC Imports Import Data)
- Browse for file you created in Step 1.h
- Choose File Type: Student Roster
- Choose File Format: Comma Delimited
- If you don’t want you student to log in to Learning Connection: Choose Create Registration Codes: No, otherwise choose Yes
- Choose Deactivate existing students for this school/corp.: No (if first year or you want to add only the new students)
- Click Upload file button
- Refresh browser until import is completed
- Correct any errors; resubmit
- When completed with no errors, Click on Download Output file (Contains Registration Codes for the students if you chose yes in step 2.g)
Create Classes
- Classes must be unique within your school. Our convention is yr||school||homeroom, example 2010-11OLMC1A
- First year (High schools may want to export sections from PowerSchool)
- Open teachers files saved when creating teachers import file
- Click on File
- Click on Save as . . .
- Change File Name to Class Setup
- Save as csv file (Must save with changed name or you will overwrite your teacher file)
- Delete columns with teachers names
- Insert column between School number and teacher SPN – this is your Local Class ID field enter data for each class as described in Step 1
- Column D is the Class Title and must not be blank (example 1st Grade 1A)
- Save as csv file
- In subsequent years
- Open Class setup file from last year
- Change Class name from last year to this year
- If teachers have change classes, change SPN
- Import students into Learning Connection
- Logon to Learning Connection
- Navigate to Import Data (AdministrationSchool OLMC Imports Import Data)
- Browse for file you created in Step 1.i.
- Choose File Type: Class Setup
- Choose File Format: Comma Delimited
- Choose Academic Year: current year
- Click Upload file button
- Refresh browser until import is completed
- Correct any errors; resubmit
Create Class Rosters
- In PowerSchool Export Students
- Log on to Power school
- Navigate to DDE
- Current table: Students (1)
- Select all records
- Click Export Records
- Choose the following fields
- [39]in_schoolnumberprefix
- State_StudentNumber
- Home_room
- Submit
- Excel should open with the resulting spreadsheet. Using Excel’s Replace (Edit; Replace) change Homeroom to match Classes defined above.
- Delete heading (Row 1)
- Format STN to accept leading zeros
- Save as csv file
- Import Class into Learning Connection
- Logon to Learning Connection
- Navigate to Import Data (AdministrationSchool OLMC Imports Import Data)
- Browse for file you created in Step 1.f.
- Choose File Type: Class Roster
- Choose File Format: Comma Delimited;
- Choose Academic Year: current year
- Click Upload file button
- Refresh browser until import is completed
- Correct any errors; resubmit
Create Parent Import
- We did not set up accounts for parents in Learning Connection but you would need to create the import file folding the file layout in Data Schemas/ File Upload Formats.xls
- Forrmat STN to accept leading zeros
- Save as csv file
- Import students into Learning Connection
- Logon to Learning Connection
- Navigate to Import Data (AdministrationSchool OLMC Imports Import Data)
- Browse for file you created in Step 3
- Choose File Type: Parent Import
- Choose File Format: Comma Delimited
- Click Upload file button
- Refresh browser until import is completed
- Correct any errors; resubmit
- When completed with no errors, Click on Download Output file (Contains Registration Codes for the parents)
