Planning Day Minutes
The meeting opened at 9.30.
Preamble LaurenWood from Hockey NSW was asked to address about the advantages of the Hockey NSW decision to change insurer and the impact on our website and member services. The changes will come into effect January 1st 2017.
Points to note-
- Mens Masters Only registration will continue.
- Our Website will continue and should be more accessible to our committee
- Associations should have their own websites hosted via the NSW site
- There will be opportunity for electronic team nomination and team list entries
- We should receive training should occur in January 2017 after the system goes live
- Chairman’s address- A Terrey welcomed committee and guests.

- Finances
- NF presented the financial report and lead a discussion on our Financial position and the need for a financial buffer in the preparation stage for a National Championship too cover accommodation deposits and the like.
- The cost of MYOB and the services provided by Hockey NSW to Mens Masters were discussed.
- The need to change our bank account name from NSW Veterans……. To NSW Mens Masters …… was discussed . NF to investigate and organise the change.
- State Championships
- Hosting Agreements. Turf Hire costs. The Costing sheet circulated earlier this year was discussed.
- MOTION - From 2017 on we will pay for our Championship Turf use by the Hour as opposed to the current flat rate. GC moved and seconded by JOD the motion Passed unanimously Motion - We establish a 2 cost structure for funding our championships in the future. All championships other than Newcastle will be paid at the rate of $140 + GST/ hour/ turf used. For Newcastle the rate will be negotiated and quoted before the committee votes to accept or decline. For 2017 the quoted hire rate for the 40 & 45 Championship is $168 GC moved and seconded by JOD the motion
- Motion – Teams will be charged, via their team nomination fee, a higher fee to cover the extra cost incurred playing at the Newcastle International Hockey Centre. GC moved and seconded by JOD the motion
- Mens Masters pool of TDs needs to be expanded. Discussion and a decision to run a course.
- Action G C to investigate the course and how to set it up.
- GC also to contact the current TD pool, Matthew Apps and “Boon” Graham Haley in relation to the training day.
- State Training – 2016 program worked well. More training was a frequent request in the 2016 player survey. The opportunity to use some of the turf time at state championships was discussed . The 60 ‘s at the 40 & 45 ‘s 75 ‘s at the 65 ‘s in Bathurst are 2 possibilities . A second option of regional training days for players from all age groups around a regional centre training together was discussed and will be explored in 2017. Mens Masters to cover turf hire costs. The consensus was to use a team manager from the region to coordinate the training run.
- Changing over 55-63 Championship to 3565 Championship. Anyone who played this year and was 63 and turns 64 in 2017 will be given an automatic exemption. If a player who did not play in the 63s this year and turns 64 in 2017 must apply for an exemption.
- Allocation of Destination Wollongong Funds from 2016 ($1500)Action – That $1000 be transferred to ISCH earmarked for their shoe cleaning bay upgrade. GC to advise ISCH and Hockey NSW.
- Sydney – how to treat them as an association in 2017. Sydney enters our State Championships but is not recognised as a an Association under the current Hockey NSW model. Discussion on how to facilitate the Sydney masters team in the future resulted in
- GC to approach the Sydney Associations, other than Sydney South and Sydney South West, to host the Sydney Masters teams. This will allow Hockey NSW to send invoices for Sydney Master’s participation State Championships to a recognised Association.
- Further discussion regarding Mens Masters Contacts for the Associations suggested asking Hockey NSW to add a Mens Masters contact person to their annual contact collection information request. GC to organise and canvas known contacts and state and team managers. The suggestion to change the display name in the Secretaries email address list to an association so this will ensure that we get all assocciations as well as the masters contact, example;- hange display name to Debbie Baldwin Coffs Harbour Assocation, and the masters contact from to Keith Jervis Coffs Harbour Masters. This may seem a big job but can be changed over a period of time. This will ensure we know that we have all the assocations and contacts.
- Combining 40 and 45 championships (association comments circulated prior to the meeting) there were no negative comments regarding the proposal as such.Most came as a list of comments from those members who participated in the discussion. We had responses from Newcastle Coffs Coast, Goulburn and Orange. The discussion was lengthy on the topic.
- Motion – that NSW Mens Masters combine the 40 and 45 age divisions for one year (2017) and review the success of the merger at the end of the 2017 season with a view to continuing the merged format in the future. GC seconded RR
- Carried – 4 – 2
- Motion -that the draw structure be set with 2 tiers a “Premier League Competition” of up to 12 teams and 2 age championships one for over 40 and the other over 45 championship. These championships may have multiple divisions. GC seconded RR
- Passed unanimously
Explanation - Premier Teams can be a mix of the best under 50 and over 40 players from the association. There will be no need for age exemption requests as long as all the players in the team are over 40.
For the over 40 and over 45 comps the organisers will place teams according to their age composition into each championship.
State selectors will observe all three competitions.
- Adelaide debrief
- Red Card – there was discussion around the need for any follow up on Red Cards awarded at the Nationals, the discussion centred on the difference between Breaches of the Player Code of Conduct and Incidents on the Field that lead to Red Cards. There was also view pressed that once the red card penalty, as set by the judiciary at the Nationals, was served the matter was concluded. In light of the red card incidents in 2015 and 2016 it was decided that
- Motion – Any player who receives a Red Card at the nationals must make representation to the NSW Hockey Mens Masters Sub Committee before any future representation nominations will be considered. GC seconded RR
- Passed.
- Managers and Captain’s reports circulated all Managers Reports except the 50’3 have been received to date. Discussion followed.
- Our success as a State – 2016 was again a good year although our 40 and 45 teams did not perform as well as in previous years. We hope the changes to the state championships will draw more calibre players into the selection pool.
- Hobart 2017
- Training- Newcastle to be engaged for 2017. A number of regional training days to be attempted as stated earlier in the meeting. Date for training the weekend before the City to Surf in August. Request Quote from NIHC for turf use.
- Survey Monkey results – Thank you to Carolyn Campbell for organising. From the committee. GC to organise High response rate and most are in the positive. Some individual responses to be acted on in the future. Many please to be able to feedback. Areas raised include
- Uniform – some problems with Quality and sizing
- Coaches – the need for coaches was raised both in wanting and not wanting coaches. The committee will consider the appointment of coaches once team compositions are established in 2017.
- State Dinner – there was a overwhelming desire to have a state dinner in 2017. The Committee will investigate the possibility.
- Co ordinator to check accommodation sites in Hobart. TN has been to Hobart and visited the accommodation sites offered by both Show sport and Sports link. The suitability of the venues was discussed.
- Show sports v’s Sports Link a decision was made to use the services of both organisations for 2017. There were a number of shortcomings this year with Showsport particularly relating to transport that were not well resolved by their group.
- Review of the functioning of our committee for 2016.
- It is the view of the Chairman that the committee has been working well .
- Plans for 2017 will need a number of new roles to be established.
- There was a decision to ask each committee member to volunteer to be the contact person for up to 4 associations to act as a liaison between the committee and their group of associations.
- Action GC to circulate list of All Associations to the committee for them to select the associations they will liaise with.
- Succession Planning
- Danny Foreman and John O’Donnell have served one term and are up for possible selection in 2017.
- Robert Redding and Keith Kauter have served 3 X 2year terms and as such must stand down from the committee an d are unable to seek re-election for 2017.
- Hockey NSW
- Selection of Venues for future Nationals 2018 . There is still no news on the venue other than the rumour it will be Newcastle. There was no information regarding how the flow on of any sponsorship money or part of the Hosting agreement would reach the hosting associations.
- Information regarding the new insurance and website arrangements including our Masters Only Registration was given in the preamble to the meeting by Lauren Wood.
- Our AGM – Date 18th Feb 2017 Eva Redfern Room.
- Cartridge World via David Campbell will be Printing our Annual report for 2016
- Deadlines for reports – End of December 2016
- Committee Members to talk to their association contacts to organise suitable Proxy voters to guarantee a Quorum for the meeting.
- Catering and Parking arrangement s have been made.
- No Charter amendments are slated for the 2016 meeting.
- General Business
- Denis Cranston is nominated as the Hockey NSW Mens Masters Player of the Year.
- GC to look into having our award presented at the Hockey NSW Awards night. GC to send award criteria to Lauren Wood for consideration by the Hockey NSW Board for inclusion and presentation on the night .
- A Letter is to be composed and posted to those members eligible to play in the over 75’s for 2017. The letter will invite them to nominate and attend a “training get together” to be held in Bathurst in conjunction with the over 35 and over 65 championships.
- GC to write the letter RR to provide mailing list and view letter
- There are currently 2 Nomination for the Hockey NSW Lifetime Contribution to Mens Masters
- GC to forward the nomination documentation to Hockey NSW
- Players Nominating for State Selection in 2017 will be asked to wear a band /sock garter of a specific colour to make it easier for selectors to identify them on the field. The bands will be available at the control room . Managers will be asked to collect and distribute the bands to those player who have nominated in their team and return the bands at the conclusion of the championship.
