Guidelines for Briefing Staff

On How to Administer the *YOUR ORGANIZATION* Program Evaluation Tool

These guidelines are for the research coordinator to help program staff understand the purposes of the research and to make the administration of research questionnaires easier, more effectiveand standardizedacross different groups.

It is recommended that you cover the following as part of staff training and/or as part of the program briefing (approximately a 15-45 minute session, depending on whether you have staff complete the questionnaire as part of the session).

1. Explain your organization’s main reasons for conducting the evaluation research.

2. Explain that the research on the program will require approximately half an hour at the very beginning and half an hour of instructional and participants’ time at the end of the program.

3. Give the instructional staff the packets of questionnaires for the first day (Tip: Prepare packets of questionnaires for each group for each administration. Each packet should consist of a large envelope:

- a copy of the instructions on how to administer to a group – “Guidelines for Administering the *YOUR ORGANIZATION* Program Evaluation Tool to Participants”

- copies of the questionnaires plus spares (photocopy the questionnaires on colored paper, and always stick with this color, so that they are easily recognizable by staff as research questionnaires).

- plus enough pens for the group

4. Go through each of the points on the “Guidelines for Administering the *YOUR ORGANIZATION* Program Evaluation Tool to Participants” sheet. Make special note that some of these procedures are particularly important in terms of the accuracy and quality of the data completed and past experience has shown these are the procedures most likely to vary between different instructional staff administering the questionnaires: 6. Accurate Responses, 7. Confidentiality, 10. Details, and 11. Collection.

5. Ask the staff to complete the questionnaire themselves and discuss any questions.

6. Feedback: Discuss with instructors that they will be able to receive feedback on their program results when they become available.
