Terms & Conditions for booking a Trade Stand
The Society is established for the purposes expressed in the Memorandum

These T&C should be read in conjunction with the Show T&C on the main web site.

  1. Trade Stands.

1.1 Health & Safety. Exhibitors must agree to comply with such provisions of the Health & Safety Act at Work etc. Act 1974 and subordinate legislation as may apply to the Show. Exhibitors must agree to comply with the Emley Show Health & Safety procedures which can be found on our website:

1.2 Exclusivity – We do NOT guarantee exclusivity for any product to be sold by any trader, either in the outside Trade Stands or in the inside Craft/Countryside/ Food marquees.

1.3 Movement of Traffic on Showground:

1.3.1 There will be no movement of motorised vehicles on the Show Field between 8.45am and 5.30pm, with the exception of allowances made for animal welfare, and the rapid transit of emergency vehicles, unless authorised by Health & Safety officer or the show secretary. Any movement of vehicle between these times must be guided by a show official.

1.3.2 All vehicles must display the Vehicles gate pass whilst on the showground.

1.4 Cancellation:

1.4.1 By Trader of a trade stand plot after payment. We will process a refund of 80% under the following conditions:-

1.4.1.1 If all stalls in the area which you have booked are sold.

1.4.1.2 All tickets / passes etc. are returned 10 days before the show day.

1.4.2 Cancelation by Emley Show Committee: If the Show is cancelled due to circumstances beyond our control such as (but not limited to) adverse weather or the results of adverse weather, unsafe ground conditions, damage, restriction of access by public authorities, fire, flood, storm or terrorist attack, the following will apply :-

1.4.2.1 Trade Stand Holder– if we cancel the Show, we will refund any payment already made including advance tickets less 20%.

1.5 Insurance. All Trade Stand exhibitors must have public liability insurance and confirm details with their application. Trade Stand must be prepared to produce written evidence of insurance on the day, upon the request of a Show Officer. (Minimum insurance is £1m for small stands however we recommend £5m).

1.6 Risk Assessment

All Trade Stand applicants must complete and sign a Risk Assessment form and return it with their application.

1.7 Data Protection

Emley Show Society Limited will retain all information supplied by applicants solely for administration use by Emley Show Society Limited. No details will be passed to third parties without express permission of the applicant.

1.8 Generators

1.8.1 No petrol generators are permitted on the showground.

1.8.2 Generators should be fitted with noise suppression. Any generator which is causing a noise or fume nuisance to traders/the public will be requested to be switched off.

1.8.3 Siting of generators, we request that you are mindful when siting the generator of hot exhaust gases etc. Generators are not permitted in enclosed areas.

1.8.4 Fuel, it is not permitted to re-fuel generators on-site or to store fuel on the showground. Details of size, means of noise suppression and details of certification must be available for inspection.

1.8.5 Generators should be in good condition and maintained. H & S officer reserves the right to request servicing documentation.

1.9 Balloons.

1.9.1. It is not permitted to use / sell / give away any kind of balloons including helium promotional ones, anywhere on the showground site.

1.10 Leaflets.

1.10.1 It is not permitted to walk around the showground handing out leaflets. Leaflets may only be handed to customers at trade stand when information is requested.

1.11 Tie wraps (Cable ties).

1.11.1 Only high visibility / fluorescent tie wraps can be used on the showground. Black, Brown, Green or other dark colours are not permitted.
