ORDER OF PRIORITY

Exhibitors who BOOK AND PAY on booking FOR APRIL & NOVEMBER Expos will be entitled to a further 10% discount and receive first choice of Exhibitors position.

Exhibitors who BOOK AND PAY 50 % on booking and Balance one month before APRIL Expo FOR APRIL & NOVEMBER Expos will be entitled to second choice of Exhibitors position.

Exhibitors who BOOK AND PAY on booking FOR ONE Expos will be entitled to a THIRD choice of Exhibitors position.

Exhibitors who BOOK AND PAY 50 % on booking and Balance one month before FOR ONE Expos will be entitled to FOURTH choice of Exhibitors position.

  • All stalls have to have there own Gazebo for 3m x 3m spaces
  • OR One trestle table space 2 x 1.5 some sort of Umbrella or smaller marquee required

FRIDAY MORNING SET UP Bump In with car needs to be between 6.30am to 8.00am all cars must be off premise by 8.30am for safety & public liability reasons. Any Bump In after 8.30am must be with a trolley no exceptions!

Bump In Entry Point Once you have entered the Harbour off the last round about, turn left to go to the Sorrento Quay car park.Bump In entry is from the car park between The Great Escape (Water Fun Park) and Bella Fontes Restaurant - the bollards go down just before 6.30am and are back up by 8.30am. Once you have arrived at the entry point please call your Event Manager

THERE IS NO OTHER ENTRY POINT THAT WE ARE ALLOWED TO USE WHEN DRIVING ONTO THE PLAZA

* PLEASE NOTE ALL EXHIBITORS CAN LEAVE THEIR STALLS SET UP UNTIL SUNDAY NIGHT AND BUMP OUT – SECURITY WILL BE ON PREMISE THROUGHTOUT THE THREE DAYS ON 24 HR WATCH. HOWEVER THIS IS AT THE EXHIBITORS OWN RISK, WE SUGGEST THAT ALL VALUABLES ARE REMOVED FOR THE FRIDAY AND SATURDAY EVENING WHEN CLOSING YOUR STALLS. ALL EXHITORS MUST HAVE SIDES/BACK & FRONTS OF SOME KIND TO CLOSE IN THEIR WHOLE STALL BEFORE LEAVING FOR THE EVENING

Bump In guidelines are as follows:

a)Access for pedestrians must be clear at all times (IN another words not just a few feet for them to pass through) so Gazebos must be placedin a manner that does not hinder flow of pedestrians. The minute they have to negotiate the space to pass through then you know that the access is not big enough or clear enough.

b)There must be enough space for anAmbulance to come through onto the upper level and parkto the left of Sharkys in an emergency(something that has already happened this season with us there) and then be able to get their gurney through down the main market corridor if necessary.

c)In the morning when you are bringing your car onto the plaza area

YOU MUST have(no exceptions)

some one walking in front of your car,

not be moving more than 10km per hour,

have both windows down to be able to hear instruction and

have your hazard lights on.

NOTEEVERYONE MUST BUMP OUT BY TROLLY – OR OTHER MEANS WHEREBY HIS OR HER WHOLE STALL IS WHEELED/WALKED OFF THE PLAZA. NO CARS WHAT SO EVER ARE ALLOWED TO BE ON THE PLAZA AFTER 8.30AM SO THAT MEANS NO CARS IN THE LATER MORNING, NO CARS IN THE AFTERNOON NO CARS IN THE EVENING

Even if it is not busy this procedure must be followed at all times.

No reversing is to be done without a person on the ground directing. If you don’t have a second person then you can call Kelli

This also applies when driving out of the Events Plaza after unloading your car. You must first unload your car completely and then take your vehicle to the car park before beginning to set up your stall. Even in the morning there are swimmers etc walking around including as it gets warmer children who on other days in the Events Plaza Area are usedto being free to run around and do not expect to be confronted by a car.

D) Each Exhibitor must have all of their display/product etc within their own 3m x 3m space. If you have something outside of this space it must be attached to your Gazebo making it secure so that even if it is bumped it won’t fall over or be a danger to passing pedestrians to trip over or bump into.Kelli Sharp must first approve it.

BUMPING OUT SUNDAY NIGHT

EVERYONE MUST BUMP OUT BY TROLLY – OR OTHER MEANS WHEREBY HIS OR HER WHOLE STALL IS WHEELED OFF THE PLAZA. NO CARS WHAT SO EVER ARE ALLOWED TO BE ON THE PLAZA AFTER 8.30AM SO THAT MEANS NO CARS IN THE LATER MORNING, NOCARS IN THE AFTERNOON NO CARS IN THE EVENING

Many of you will already be bumping out with your Trolley’s and so have your own trolley and systems -ThankYou!

For those of you who don’t have your own trolley we have two Expo Trolley’s that can be used to make your bumping out as easy and simple as possible. They both can beconverted to flat bed trolleys and one can be upright if needed. One can take up to 500kg and the other up to 1000kgs. Most of us will be able to bump out with just one or two tripsusingone trolley,once we have a system in place.We can bring our car to the loading dock near the plaza entry to unload the trolley,sothe distance is not that far for most Exhibitors (Yards).

  • Gazebos must be well secured with concrete/sand bags as wind factor can be high until around 10am to 11.00am

At Hillary’s Harbour the position of Hillary’s Wellness Expo is in prime location and is located in the Events Plaza Area, which is Harbour land under the Department of Planning and Infrastructure. This means it is a Heightened situation when we are dealing with anything to do with Health & Safety or Public Liability and access issues. This has nothing to do with politics; as such this is a very important area of understanding that all Exhibitors must adhere to no matter other circumstances. Those Exhibitors who cannot or do not abide by all the Harbour guidelines will not be able to operate at Hillary’s Wellness Expo as the risk for the Harbour is just too high to accommodate those who can not. We hope all potential Exhibitors/ Exhibitors can fully appreciate our position on these matter
