Project Description:
NOTE: Recognizing that this award is not intended to be special event focused, this application is meant to highlight the intent to gain awareness of the overall fundraising needs of the IBF with an under-represented donor group rather than to simply host a fundraising event.
The Indianapolis Bar Foundation undertook an effort to fortify its young lawyer donor base and build visibility through the hosting of a Trivia Night. Popular with young professionals in Indianapolis, trivia nights are typically hosted in local pubs and are team based game testing the knowledge of those participating.
The bar foundation encouraged the formation of teams from law firms, government agencies, and legal service providers. An extremely affordable ticket price of only $25 per person was set which included two drinks and hors d’ouvres.
Success of Project:
Goal: The goal was to attract new donors to the Indianapolis Bar Foundation and not lose money in the effort.
Outcome: Of the 123 participants in the Trivia Night event 59% had not previously contributed to the IBF and the average age of those attending was less than the average IBF donor.
To Do Kit:
Pre-Event Logistics:
· Select location
· Secure “master of ceremonies” to draft questions/answers and run the game
· Order light hors d’ouevres
· Organize registration to allow for teams up to five or single reservations placed in groups by IBF staffer
· Create onsite registration sheet to collect name and email address
Onsite Logistics:
· Check in guests
· Distribute drink tickets
· Place pledge cards/contributor envelopes at seating
· Distribute promotions for upcoming IBF fundraising events
· Coordinate team seating
Marketing:
· Begin promotions 60-90 days prior to event
· Promotions package included:
- Display ad in legal newspaper
- Signage in bar office
- Promotion in bar’s e-newsletter
- Table tents at major bar association events
- Email promotion to members of the association’s young lawyer division/law student division
Follow-up:
· Add all participants to the donor registry
· Send thank you to all participants with information on how to support the IBF
