ST. WILLIAM/ST. JOHN PASTORAL COUNCIL
July 26, 2017
The regular monthly meeting of the St. William/St. John Parish Pastoral Council was held on July 26, 2017, at St. William Church, Donnelly Hall, Williamstown, KY, at 6:30 p.m.
Members present included: Fr. Hils, Deacon Lyman, Katie Clemons, Pat McDonough, Roger Frisch, Scott Lengle, Ken Henke, Suzi Noel, Cory Haar and Pam Saylor
Katie Clemons called the meeting to order at 6:31 p.m. .
Fr. Hils opened the meeting with prayer.
The minutes from the June 2017 meeting were reviewed. A correction to the minutes was going to be added/updated. A motion to approve the minutes was made by Pat McDonough and seconded by Pam Saylor.
Old Business
- Vacation Bible School – This year’s vacation Bible school was a success. By the end of the week, fourteen (14) children were attending. Much was learned by the children. At the end of the week they put on a performance for their families.
- Chicken Dinner – We will not be having the chicken dinner this year. The parishioner that has organized this event in the past is unable to do it this year and there has reportedly been a lack of help to put the dinner on.
- St. John Improvements – Two (2) bids to repair and re-paint the iron fence in front of the Church were received. Fr. Hils reported the first bid was for $25,000 while the second bid was for $7,800 but did not include painting the tips of the fence white. Scott Lengle asked that another bid be obtained. Cory Haar advised he knows of a business in the area that could perhaps provide a bid.
A new door is being looked into. Dave Edwards provided information about a 48 inch steel door that would have 6 panels, was flat and galvanized which would need painted. The price for the custom made door would be $3,100 which would include installation.
Ted Kaiser previously obtained an estimate to increase the parking lot to St. Johns. The estimate came in at $9,000.
Fr. Hils advised an air conditioner was purchased for St. Johns through Grant County Mechanical. The air conditioner will be installed in the back of the Church on a 36X36 pad. Fr. Hils would like a wall built around the air conditioner.
St. Johns changed companies that supply the porta-potty as the previous company was not cleaning it on a regular basis. The new company will charge $10 less per month than what St. Johns was paying.
NEW BUSINESS
A.Election of Vice President of Council – Pat McDonough was nominated and accepted to be the Vice President of Council.
B.Quarterly Financial Update – Deacon Lyman provided the quarterly report on finances. St. Johns building maintenance collections are down approximately 55% to 65% since the Diocese began taxing this collection. Furthermore the congregation is not growing according to Deacon Lyman. The DPAA is “struggling” as of now to reach its goal at St. Johns. St. Johns account balance is reported to be $47,000. The cemetery balance is reported to be $23,000.
St. William Church mortgage (PNC Bank Loan) is currently $110,000. The interest rate has recently increased according to Deacon Lyman. The building maintenance collections are down at St. William Church as well. St. William Church is currently projected to meet its DPAA goal if parishioners follow through on their pledges.
Deacon Lyman advised St. William Church is going to begin putting $1,000 a month into an account for future “roofing needs.” In the next 5-7 years the hope is to have approximately $100,000 for roof repairs which are inevitable in the future.
The reported account balance for St. William is $30,000.
C.Document Shredding – The shredding event at St. William’s in April was deemed a success. $130 was taken in donation. Deacon Lyman advised the shredding cost $20 more for what the Parish was going to pay but the Parish was able to provide people and businesses a service otherwise not offered in the Grant County area. Another document shredding date is being discussed for October 14th. Discussions were had on how to publicize the event suck as WKNR, Grant County News, Facebook, etc.
D.Fall Festival – A fall fest at St. William was discussed, to be similar to the one held in 2016. Possible tentative dates include October 1st or October 22nd.
E.Turkey Trot Run – To be held in NKY on November 11th. We will be encouraging more runners and/or walkers to attend.
F.Tree Clean Up – Fr. Hils advised $600 was spent to clean up a large tree which fell over on the property
Next Meeting -The next meeting will occur on August 23, 2017, at 6:30 p.m.
Motion to adjoin was made at 7:40 p.m. by Scott Lengle and seconded by Pat McDonough.
