Disputed Transactions on the NAB Visa Purchasing Cards
Recently, a meeting was held to discuss disputed transactions on the University’s NAB Visa Purchasing Cards and what controls can be put in place to eliminate the risks of unauthorised charges to the University.
Would card holders please take the following steps in future:
- Card holders to check statements as soon as they are available on Spendvision to ensure that all transactions entered on the current statement have been made by the card holder and that there are no unknown expenses.
- Where there are unknown transactions,
(a)Always complete the ‘Commercial Card Disputed Transactions’ form which can be downloaded from the Spendvision programme and fax it to 1800 636 359.
The University is liable for all expenditure on the NAB Visa Purchasing Cards so, any unknown transaction will initially have to be expensed against your cost centre. On receipt of the completed ‘Commercial Card Disputed Transactions’ form, the NAB Bank will issue you with a temporary credit on your next month’s statement while they are investigating the transaction. This credit will be allocated the same account number as the original transaction under dispute.
Please note: NAB Visa Card Reconciliations are not to be held back while a transaction is being investigated as this may be a lengthy process. A copy of your dispute form will be sufficient for supporting documentation. Also, if you do not get a temporary credit from the NAB Bank after you have submitted the dispute form, please contact the NAB Bank on 1800 636 359.
(b)If the transaction has nothing to do with you or your work or has been transacted from another country where you have not travelled –
Complete the ‘Commercial Card Disputed Transactions’ form and cancel your card immediately. You will be issued with a new purchasing card with a new number asap.
This can be done by the card holder, telephone NAB1800 033 844, or by the Administrators, who are James Conlon and Kathy Jensen.
(c)If you have no documentation to support the unknown transaction but it is possible that you may have made the purchase –
Complete the ‘Commercial Card Disputed Transactions’ form and check your balance on a regular basis to ensure that your card has not been used for any other suspect transactions. Check your next statement as soon as it becomes available on the Spendvision programme for any other unknown transactions. If there are further suspicious transactions, cancel your card immediately (see above).
