Purpose Display and Reporting for Central HR Users - Time Maintenance
Use this procedure to display a calendar view of absences for one or more exempt employees. Calendar view provides a condensed view of employee absences with the ability to obtain details recorded for the absences.
Trigger
Perform this procedure when you need to display a calendar view of absences for one or more exempt employees.
Prerequisites
None
Menu Path
Use the following menu path to begin this transaction:
·  Select Human ResourcesInformation SystemReportsTime ManagementTime data administrationAttendance Attendance Data: Calendar Viewto go to theAttendance/Absence Data: Calendar Viewscreen.

Business Process Information
Calendar view should only be used for exempt employees. Absences for non-exempt employees will not reflect the actual date of the absence due to the Kronos interface logic.
Helpful Hints
·  The R/O/C column in the field description tables below defines whether the field is required (R), optional (O), or conditional (C).
·  On certain screens you may have to scroll to view some data entry fields.

Procedure
1. / Start the transaction using the menu path or transaction code.
Attendance/Absence Data: Calendar View

2. / Select to the left of Other period.
/ Calendar view should only be used for exempt employees. Absences for non-exempt employees will not reflect the actual date of the absence due to the Kronos interface logic.
3. / As required, complete/review the following fields:
/ Field / R/O/C / Description /
Data Selection Period / Optional / Valid date range to be used when selecting profile data
Example:
07/01/2005
Using the Data Selection Period field is recommended. This field will only display the date range entered. The Person selection period field displays data for the entire year.
To / Optional / End value when specifying a range of values, dates and/or times
Example:
12/31/2005
4. / Perform one of the following:
If You Want To / Go To
Display one employee / Step 5
Display more than one employee / Step 11
5. / As required, complete/review the following fields:
/ Field / R/O/C / Description /
Personnel Number / Required / Unique employee identification number

6. / Click .

7. / Perform one of the following:

Want to display additional absence information / Double-click the absence symbol to be displayed. / Step 8
Do not want to display additional absence information / -- / Step 21

Display Absences

8. / Review the displayed information.
9. / Click .

10. / Go to Step 21.
11. / Perform one of the following:

You need to add Cost center as a field entry choice in the Selection area
You can also add other selection criteria, if required. / Click . / Step 12
Cost center is already a field entry choice in the Selection area / -- / Step 12
Choose Selection Fields

12. / Click to the left of Cost center in the Selection options area.
13. / Click to move the Cost center field to the Selection fields area.
Choose Selection Fields (2)

14. / Click .
Attendance/Absence Data: Calendar View (4)

15. / As required, complete/review the following fields:
/ Field / R/O/C / Description /
Cost center / Required / Organizational unit for capturing costs
Example:
1500000000
/ The Cost center field is now displayed.
16. / Click .

17. / Use the scroll bar to view data for other employees.

18. / Perform one of the following:
If You / Then / Go To
Want to display additional absence information / Double-click the absence symbol to be displayed. / Step 19
Do not want to display additional absence information / -- / Step 21
Display Absences (2)

19. / Review the displayed information.
20. / Click .
Attendance/Absence Data: Calendar View (6)

21. / Click until you return to the SAP Easy Access screen.
22. / You have completed this transaction.
