SURVEY PRO

CUSTOMIZED FOR MGMT/ECON 203 STUDENTS

  1. Starting Off

Get in touch with either Justin Baccary () or Tiffany Jenkins(), who will create a folder in your group's name and assign access rights to the group for that folder. These folders will be located at L:\SurveyPro\MGMT203\03-04l\groupname folder.

  1. Creating the Questionnaire

First, meet with one of the assigned Peer Mentors to create a group folder on the L drive. Open the Survey Pro software from your group folder L:\SurveyPro\MGMT203\03-04\groupname, and create the questionnaire. Kindly take time to explore the features of the software before contacting the assigned personnel. Save it in the L:\SurveyPro\MGMT203\03-04\groupname folder. We would also suggest saving your survey on your H drive as well.

  1. Exporting the Survey

When the survey is ready, it needs to be formatted into the HTML format. Choose Page Setupfrom the Filemenu options. Under TYPE, choose HTML Questionnaire. In SERVER ACTION replace "YourScript.pl" with

/cgi-bin/survey.pl?MGMT203/groupname/surveyname.sdh.

For instance, for a group doing a survey called Honor, the screen will look like:

where the script reads: "/cgi-bin/survey.pl?MGMT203/03-04/Statisticians/honor.sdh".

Apart from the TYPE and SERVER ACTION fields, a few other things to note here are the title of the SUBMIT BUTTON, the RESET BUTTON and the NO ANSWER RADIO.

  • The Reset button resets the answers of the survey to null.
  • The No Answer Radio adds (by default) the NA option to questions, which is removed from the illustration above in order to force the respondents to choose one of the given answers instead of choosing NA.
  • If you do not change the name of the Submit Button, the Default name will be Send Answers. When the respondent receives the survey, the button to finish the survey will read Send Answers.

Here surveyname.sdh is the name of the HTML data file to be associated with your survey. (The HTML data filename is the same as your survey filename, except with the .sdh extension instead of the .sva extension.)

Next, save your survey to the L drive. Go to File then Save As. Type in: L:\SurveyPro\MGMT203\03-04\groupname\surveyname and save your survey. After saving your survey to the L drive,if you are ready to publish your survey to the web, lock the design. Go to Questionnaire and click on Lock Design. If at a later time you want to make modifications to your survey, be sure to go back to Questionnaire and click on Lock Design to unlock the survey.

Still in the Survey Pro application, choose Questionnaire Export Text, and choose HTML Web Page (.HTM).

Create an HTML version of your survey called surveyname.htm in the L:\SurveyPro\MGMT203\03-04\groupnamefolder. The URL for completing your survey will be:

  1. A Few Modifications (not required)

The following additional modifications can be made to your survey:

  • To create a wlu-only list restricted to one post per person: Change your SERVER ACTION path from /cgi-bin/survey.pl... to /cgi-bin/wluOnly/survey.pl...
  • To create a wlu-student-only list restricted to one post per person: Change your SERVER ACTION path from /cgi-bin/survey.pl... to /cgi-bin/wluStudentOnly/survey.pl...
  1. Importing the Data

As responses are collected via the Web form, they are appended to the file L:\SurveyPro\MGMT203\03-04\groupname\surveyname.sdh. To import that data into Survey Pro:

  • Go to the L:\SurveyPro\MGMT203\03-04\groupnamefolder.
  • Rename surveyname.sdh to surveyname1.sdh. (This is so subsequent responses may begin to be collected immediately while you work with the responses collected up to this point.)
  • In the Survey Pro application, open your survey questionnaire and choose Database, Import. Choose Import File Type to be Net.collect Merge (.SDH), and import the responses from surveyname1.sdh (click OK to the Database Import [see below] dialog window, and click Skip Screen to the Import Data Screens dialog window). The results of the import will be logged in the file surveyname1.log.

  • Whenever you wish to import additional responses into Survey Pro, repeat the last two steps, using a different number for the renaming of the .sdh file (2, 3, etc.) each time. (If you don't need or desire to see any results until all the responses are in, you'll only need to do steps 5b and 5c once.)

7. Export Data as Text

The data can be read off of the Survey Pro software or imported into Excel and then manipulated or transferred into another type of statistical software like Minitab. It is possible to view the answers in SurveyPro, but for the purpose of simplicity, I will only outline the procedure used to export the results to Excel!

  • Go to DatabaseExport
  • For File Type, Comma-Delimited ASCII will be chosen. Keep to that formatting type. From Options, keep the defaults (see below) and click OK (assuming you want to export the responses to all the questions asked; if any answers are not needed, their responses can be excluded by Un-exporting the question in the adjacent box):

  • Clicking OK brings up the Database Export dialog box. Access the group folder at L:\SurveyPro\MGMT203\03-04\groupname and save the exported text as surveyname.txt.

8. Formatting the Data

  • Go to the L:\SurveyPro\MGMT203\03-04\groupnamefolder and open the surveyname.txt text file. Select the answers (EditSelect All) and copy the entire text (EditCopy).
  • Open Excel, go to EditPaste Special. Select text from the options given and click OK.

  • Select column A. Go to DataText to Columns, select Delimited, and click Next.

  • Check Commas (remember that the data was exported as comma-delimited) and click Next. You will be able to see the text in the window below with many commas in it (unlike the illustration below).
  • The next window will display the data as it appears, separated by solid lines. Click Finish, and you will have the data in the Excel worksheet to sort out as you need.

CONCLUDING SUMMARY STEPS FOR CREATING THE SURVEY:

  • Contact Justin or Tiffany with your group name as well as all members’ names and class years so that the appropriate folder can be created on the L drive:L:\SurveyPro\MGMT203\03-04 folder, and the necessary rights to the folder assigned to the group members. Each member of the group will be able to manipulate all materials placed into this folder, but your other classmates will not have these rights.
  • Create and save the survey. Take your time to explore the features of SurveyPro, and do not be shy of using the Help option. Contact Justin or Tiffany with any questions.
  • Export the survey.
  • Wait for answers.
  • Import the data.
  • Export the data as text.
  • Format the data in Excel, ready for interpretation.

You are best advised to wait a few days before starting to import the data from the web form. If you import, convert to text and format the data. At any given point in time, later data will be appended to the same .sdh file, and in order to read it, you will need to rename the receiving file so that data responses are not repeated. Contact Justin or Tiffany if you are uncertain about anything, but you are once again advised to wait a few days and then import, transfer and format all the data at the same time.

Word of advice: We would strongly encourage you to create a dummy survey and respond to it amongst yourselves before you decide to do the final conclusive survey. That way, you can resolve many issues that you do not want to be occurring for the final, all-important survey. Try to ask questions in the dummy survey of the similar kind (meaning questions that will have similar responses as your actual survey), so that you can look at the results beforehand.
