Job Purpose

To work flexibly and collaboratively as a member of the Development & Communications team providing administrative services and support to help the school deliver its strategic objectives.

Main Duties & Responsibilities
To contribute to the smooth running of the School’s Development & Communications functions by providing the Development and Communications Managers with effective administrative support.
General School Communications
  • Keep marketing materials updated, including in house print and the website.
  • Monitor social media channels and generate content.
  • Assist with internal communications, direct marketing campaigns and production of the School newsletter.
Ballet Central
  • Prepare cast sheets for tour venues.
  • Keep company ticket lists and arrange tickets for and liaise with all regional venues.
  • Assist with production of all print materials and programmes.
  • Assist with the organisation and administration of photo shoots.
Press and PR
  • Assist with all aspects of Press and PR including enquiries from the press.
  • Monitor press cuttings – distribute as appropriate, keep cuttings filed and maintain the archive.
  • Assist with photography and filming enquiries and image requests.
Events
  • Assist at, support and attend events and performances as required.
  • Support the Development Manager (Individuals) with all aspects of events administration and planning. The successful applicant will be expected to work occasional evenings and weekends for events, for which time off in lieu will be provided. In particular, the team’s busiest week of the year is School Show Week/Graduation, which takes place in July. Please note that attendance at this week, which involves evening and weekend work, is compulsory.
  • Ensure refreshments are provided for events and meetings as needed.
Fundraising
  • If and when required to greet and look after guests and visitors to the School.
  • Support the development team with any aspect of fundraising as required. This is likely to include drafting information, proof reading, assisting with the Central Friends scheme, alumni relations, Trusts and Foundations etc.
Research
  • Conduct research as required for fundraising and communications purposes.
Administration
  • Use the database for Development and Communications tasks including data entry.
  • Monitor the website and general in-boxes every day and ensure that the Development Manager is notified of any income via web payments.
  • Provide administrative support as needed for the Development and Communications team.
Finance
  • Support the Development Manager (Individuals) with processing donations and producing and reconciling donation income reports.
  • Co-ordinate Gift Aid claims with the support of the Finance team.
General
  • Adhere to the School policies, procedures and guidelines.
  • Contribute to the operating values and ethos of the School as determined in its mission statement.
  • Exercise discretion/confidentiality in business, personnel and financial matters externally, particularly regarding press/media and potential competitors.
  • To undertake other administrative tasks as required, including reception cover if needed.

Person Specification
Education
Educated to Degree level.
Experience
Ideally some experience of working in a similar environment in an arts organisation. It would be useful to have some experience of any of the following: administration, PA work, fundraising, customer service, databases, events, understanding of membership schemes, and print and digital communications. Recent graduates are welcome to apply.
Skills and Abilities
IT skills (database and Excel in particular), strong communication skills with a high level of spoken and written English, numeracy skills, research skills, analytical skills, ability to multi-task in a busy environment, good organisation skills.
Personal Qualities
Willingness to learn, accuracy/attention to detail, tact and good people skills, patience, interest in arts/performing arts and dance education, collaborative and a good team player, desire to build a career in arts fundraising and communications, prepared to work evenings/weekends when needed (for which time off in lieu will be provided).
Terms and Conditions
  • The post is being offered on a permanent basis and will be offered with an initial 6 month probationary period (in line with Central’s policy)
  • This post is based at the School’s premises, 10 Herbal Hill, London EC1R 5EG
  • The hours of work are 7.5 hours per day (excluding breaks), 5 days per week
  • Attendance at some weekend and evening events may be required
  • In line with School Policy, this post requires a Disclosure & Barring Service Enhanced Disclosure
  • Holiday Entitlement = All English Bank & Public Holidays, plus 20 days per annum, rising to 25 days after completion of two years’ service plus the period between Christmas and New Year at the Director’s discretion
  • Access to a workplace pension scheme with BC & E (People’s Pension) and enrolment with employer contributions at currently 1% of salary (subject to eligibility criteria)
