Marketing Coordinator and Front Desk

Job Summary: This position is responsible for checking patients in and out during clinic, collect monies due at time of service, and obtaining referrals and authorizations prior to patient’s appointments.

It will also include all marketing activities including but not limited to industrial and other referral sources.

General Duties:

·  Oversee patient front office flow

·  Supports office policies, and procedures

·  Attends all practice activities including weekly staff meetings

·  General basic knowledge of all areas of the practice.

·  Familiarity with and adheres to employee manuals, job descriptions and the policy and procedure manuals for the front and back office.

·  Follows HIPAA Privacy regulations and OSHA regulations.

·  Oversees and monitors front office responsibilities/duties.

·  Responsible for maintaining patient forms

·  Answering and directing phone calls appropriately

·  Maintaining medical records by proper assembly, accurate and timely documentation, accurate scanning, and confirming the accuracy of insurance address, and referring physician data.

·  Responsible for completed referral and eligibility verification prior to patient appointment.

·  Confirmation calls for upcoming appointments.

·  Help maintain and clean office work environment.

·  Marketing

Clinical:

·  Establish RELATIONSHIP with patient, answer basic/non medical questions, and reduce patient anxiety.

·  Collect data (i.e. photos, measurements, and questionnaire) for clinical studies as needed.

·  Obtain authorization and schedule follow up appointments, NCV test, and X-rays.

·  Contact and confirm patient appointments.

·  Confirming with patient, updating the chart, and notify billing of any insurance changes.

·  Scanning completed disability forms into patient chart after fees are collected.

·  Responsible for collecting all fees and co-pays and balance cash/receipt drawer against MD plus front desk daily deposit report.

Marketing:

·  Organize and maintain a complete list referral list of Nurse Case Managers, Adjusters, Primary care physicians, Orthopaedic and Neurosurgeons.

·  Coordinate MD availability and your attendance to all workers compensation meetings, and conferences.

·  Responsible for all Legal and IME appointments and fee schedules.

·  Help plan and coordinate office retreat.

·  Prepare and help mail semi yearly advertising campaign to referral sources.

·  Yearly Christmas/Holiday Mailings

·  Help maintain with Dr. Pitt the Web Site for accuracy and content

·  Maintain presence and accuracy of information on Google and other search engines for wide spread internet exposure.

·  Maintain account and accuracy of information with Yellow Books

·  Maintain account and accuracy of information on www.Healthgrades.com

·  Help create, organize and see through completion any national or international endevors, sponsorship activites, or humanitarian efforts for DISD at the request of Dr. Pitt. This may involve travel abroad. Must maintain a US Passport without restrictions.

Other duties as assigned when appropriate:

·  Prepare waiting room and exam rooms to be neat and comfortable during back office rotation.

·  Prepare exam room equipment as needed (Models, teaching charts, instruments, drugs, etc) during back office rotation.

·  Escort patient to exam room, prepare for exam, and take vital signs as needed.

Office Hours:

Monday – Friday, 8:00am – 5:00pm. This position is also required to participate in vacation and illness coverage when the other practice staff is unavailable.

Qualifications:

Must possess a strong knowledge of the health care industry. Two years plus medical office experience is needed. Must have the ability to create a ‘team focused’ work environment; with proven communication skills with all levels of employees and providers. Strong computer skills are required, including proficiency in MS Office, MS Excel, etc.

Physical Requirements:

·  Full use of both arms.

·  Ability to frequently lift and carry up to 10lbs, Occasionally have to lift or carry 11-40lbs

·  Frequently have to bend/stoop, squat, climb, reach, crouch, kneel balance, push/pull 5(five) to 7 (seven) hours or more

·  Ability to hear calls for assistance, emergency alarms, overhead directives, phone calls, etc.

·  Ability to smell odors such as smoke, chemicals, human waste, etc.

·  Must be able to assist patients onto stretchers. Must possess the ability to speak, write, see and hear to perform the essentials of the job in English. Must possess verbal and written English communication skills.

Organizational Data:

Reports directly to the Clinical Coordinator.
