Job Title: Executive Assistant

Department: Administration

Reports to: Sr. Executive Assistant

Position Summary: Provide executive level administrative support to the President of Lipogems and his team.

Qualifications required:

§  Bachelor’s degree in Business Administration, or related field

§  3+ years’ experience as an administrative assistant

Qualifications desired:

§  MBA

Essential functions and responsibilities:

§  Manage Executive’s calendar and appointments

§  Organize and maintain files and records

§  Plan and schedule meetings, interviews and conference calls on behalf of Executives

§  Prepare and edit correspondence, reports, and presentations

§  Arrange travel and accommodations for Executives and business guests

§  Act as a liaison between internal and external contacts

§  Manage expense reporting

§  Provide overflow customer service support

§  Provide additional support to the executive team as directed

§  Hold all work-related information confidential

Nonessential functions:

§  Other projects as assigned

Physical demands and work environment:

§  Frequency of travel: Occasional travel is required for meetings, trainings and conferences; location may vary and may require overnight stays

§  Light physical activity required working in an office environment – Occasional lifting of up to 25 lbs., daily sitting at computer for long periods of time, frequently standing/walking to operate various office equipment

§  Annual performance review

§  Attainment of annual goals established between EA and the Executives
