Patron Services Manager

The Patron Services Manager maintains the Development Database and supports all processes involving donor and prospect data. Strong database skills required and Raiser’s Edge experience a plus; however training will be provided if necessary. This position requires a high level of attention to detail, a track record for accuracy and efficiency and proficiency in standard business software packages such as Microsoft Office.
Reports to the Director of Development
Duties include
- Gift entry and acknowledgement using the Raiser’s Edge and Microsoft Office
- Editing and configuring acknowledgement letters
- Gift entry, benefit administration, acknowledgement
- Documentation of verbal pledges
- Processing credit card payments
- Documentation of stock transfers
- Event invitation list generation and tracking using the Raiser’s Edge Events Module
- Data and list maintenance including National Change of Address (NCOA) functions, phone appends, routine table cleanup, and archival processes. May involve coordination with a third-party data integration support.
- Planning and setting up packages and events (with associated actions) in RE Technical oversight, ensuring database backups and updates are done regularly and correctly
- Ensuring that software that interacts with the database, such as Windows® and Microsoft Office®, are the appropriate versions
- Database user oversight, ensuring that security is properly maintained, at both the “group” level and user level
- Training new users on both the database in general and the organization’s specific use of it, and providing ongoing training to existing users, especially when software upgrades occur
- Documenting thoroughly how our organization uses the software to do day-to-day tasks in the database
- Data oversight, supporting routine processes like weekly reporting
- Importing appeals, letters, and actions to constituent records
- Maintaining accurate constituencies in the database (e.g., Board, Docs, etc)
- setting up and organizing frequently used dashboards, queries, exports
- Running maintenance queries and checks to ensure data is being entered and used correctly, such as checking for duplicates
- Setting up, modifying, and documenting our organization’s specific configuration of the database
- Data coordination between the box office database (ProVenue) and the development database to link records and facilitate de-duplication for outgoing correspondence; may involve coordinating third-party data integration support
- Analysis of constituent donation and ticket-buying behavior to determine appropriate levels of communication and stewardship and identify potential for increased donor involvement (see above)
- Provide analytical, statistical, financial and progressive reports regarding individual donation income
- Creation of accurate daily, weekly and monthly reports – may require the creation of custom reports using Excel and/or Crystal Reports
- Generating prospecting reports
- Generating reconciliation reports
- Generating Campaign Status report
- Generating pledge reminders
- Responsible for development and management of the ASO’s annual budget related to Development Department expenses and income.
- Tracking of benefit administration activities
- Assistance with special events
- Assistance with grants and grant reports
- Prospect research
- Managementof external communications including large mailings and e-correspondence
- Using mail function in RE
- Uploading mailings to records
- Excellent writing and communication skills a plus
