Requirements: / Two years experience in performing administrative assistant duties. This person must possess the capabilities to work independently (minimum supervision) in completion of tasks. The person must possess the willingness and experience in collaborating with others to obtain successful outcomes, as well as possess some knowledge of use of computers and software applications.
Education: / Completion of high school or GED with some college credits.
Travel: / Approximately 0% -10%
Position Overview:
The administrative assistant will work in conjunction with other administrative staff in the greeting and directing of visitors, parents, and vendors as they enter our building in a professional manner. The administrative assistant will be responsive to in-coming call/inquiries of callers seeking information regarding our services. The administrative assistant is to be knowledgeable of the services that are provided by our centers and agency. Overall, the administrative assistant will assist the directors as needed with administrative duties.
Key Responsibilities:
  • Assist the client service worker, family advocate and directors with recruitment and enrollment when requested.
  • Assist with children files’ maintenance (Childcare Food Forms, Emergency, Medicals, ect.), perform follow-ups if indicated.
  • Assist with all data entry and monthly attendance of enrolled children.
  • Inform director when requisition of office supplies is necessary.
  • Answer the phone in accordance to defined acceptable office practices.
  • Assist in developing waiting list for enrollment.
  • Schedule tours of facility for families (confer with client service worker or family advocate).
  • Maintain a professional rapport with clients and their children.
  • Compose letters and/or flyers indicative to the needs of program.
  • Routing of in-coming and out-going mail.
  • Identified Task to be completed within given time lines.
  • Knowledge of Case Management responsibilities.
  • Other duties as assigned.

Other Skills: / Computer Skills: MS Office including WORD, EXEL, PowerPoint.
Other related skills:The ability to communicate with all levels of the organization and with outside vendors and legal counsel is essential. This position also requires a solid, self-directed individual who can excel both independently and as a team player in a fast-paced, entrepreneurial environment. Candidates must be able to complete tasks according to accepted levels of quality. Experience in a growing entrepreneurial company is preferred.
