AGM 12 October 2015

1. Apologies for absence-Michael Warren, John Townsend and Stuart Williams

2. Acceptance of 2014 AGM Minutes was unanimous - Joe Keaveny requested amend Geoff to George on the attendance list.

3. Chairman’s Report

A big thanks to Nick Sprately for providing the new rostrum during the year. A big thank passed to Steve Woodhams for joining the committee. Ian thanked the whole committee for all support they have provided during 2015.

During the Chairman Report the question raised from the floor reference relation with Airport/Airfield and CMCC. Ian informed attendees that legal representative from the CMCC and the Airport are to resolve outstanding issues with the proposed current lease. One of the outstanding issues, is the following :

" Break Date: A date which is at least 6 months after service of the Break Notice."

4. Treasurer’s Report

Steve advised that he was resigning from this position. Please see Final Profit and Loss for 17 Oct 14 - 11 Oct 15 spreadsheet. At the end of the Treasurer's Michael Pople raised the following question:

What is the outstanding money going to be used for during 2016?

Ian Coates advised that £3000 is reserved in case the club requires to purchase a new AMB decoder, this leaves a budge of £7000. Suggestions being proposed for 2016 to use the remaining funds are:

  • Pit area to be fitted with pit tables
  • Track Repairs and maintenance

Richard Williams suggested that some of these funds be used to purchase get ready to run cars to enable children the opportunity to have a go at model car racing and to get school to come and use the track.

Joe Keaveney advised that during 2015 the best event to promote juniors was during the HPI challenge.

5. Secretary’s Report

New post, enjoying the role. Great to see all the racing at the track and that the racers are benefit from the new covered rostrum.

6. Election of Officers

The outgoing committee resigned except the Secretary while the election of the officers took place.

All were welcomed onto the committee.

8. Proposals : four proposals was presented during the meeting.

Proposal 1: Moving Starting Grid

To move positions 1 and 2 on the starting grid back in line with 3 and 4, shuffle the whole grid in this way, leaving a grid of 10 rather than 12. The reason for this proposal is that those starting 1 and 2 have a significant advantage of the remainder of the grid due to their starting positions being so close to the first corner.

After a short discussion the above proposal was voted on with the following result,

Abstain - 1

This proposal was unsuccessful.

Proposal 2: Moving Starting Grid

To have an additional starting grid on the back straight.

After a short discussion the above proposal was voted on with the following result:

For - 9

Against - 1

Abstain - 2

The attendees approved that the committee can decide the starting positions on the back straight.

Proposal 3: Racing Anti Clocks during Club Championship

To run the track anti-clock wise on alternate club championship meeting: 50% clockwise and 50% anti-clockwise in the club championship series.

The track is a new challenge when run anti-clockwise, plus the current fixed track design limits the opportunity to have differing layout in either direction.Other than the start grid numbers being reversed the only issue I could foresee is that the raised curbing opposite marshal point 7, and to a lesser degree marshal point 4, could prove to be a hard/expensive on the cars if you make an error as you're going faster on approach than when running clockwise.This has been proposed by John Timberlake.

This proposal was not voted on during this meeting due to non availability of proposer. The committee is discussing this suggestions for a possibility for 2016.

Proposal 4: Non Members usage of track

This proposal was received from the floor, with non members to track between 01 October 2015 - 31 December 2105 with a surcharge of £15.00.

After a short discussion the above proposal was voted on with the following result:

For - 4

Against - 3

Abstain - 3

This proposal was unsuccessful.

9. AOB Items

Joe Keaveney recommended that the club constitution section 4 required amending. However Mariana Dyson received an updated club constitution from Steve Woodhams at the meeting and will update the club constitution and pass to Joe Keaveney to included on the club website.

George Pople raised a query on the safety fence on pit lane, Mariana Dyson was able to provide minutes from CMCC last committee meeting which states that this issue is being tracked under our track maintenance.

George Pople asked if it was possible to pay membership fees by Direct Debit, unfortunately this is currently not possible. Members are able to pay for membership fees via PayPal.
