The Development Assistant is one of three team members working with the Associate Vice President, Development, a growing team of major gift fundraisers and two corporate and foundation relation officers. The Development Assistant provides support for the traveling major gift officers and the office of corporate and foundation relations.

This position enhances the effectiveness Occidental’s fundraising office by having exceptional organizational skills, attention to detail, diplomacy and is a supportive and collaborative team member interested in taking initiative and focusing on best practice. The Development Assistant proudly represents him/herself and the office to internal and external constituents to further the mission of the College and the Office of Institutional Advancement.

Functions:

Corporate and Foundation Support (25%)

  • Supports the fundraising activity of a Director and Associate Director of Corporation and Foundation Relations with duties including proposal entry, processing, tracking, and follow-up

Major Gift Officer Travel and Prospect Visit Support (55%)

  • Handles all travel arrangements; books flights, hotels, and responsible for compiling a high volume of trip material including and not limited to donor gift records
  • Assists with prospect outreach and scheduling of meetings Produces detailed expense reports (corporate card as well as out-of-pocket) for each officer on a monthly basis.Works with the budget office to ensure smooth processing of expense reports.
  • Coordinates contact and trip reports in a timely manner after travel and prospect visits.

Supplemental Acknowledgement Processing (15%)

  • Supports the supplemental acknowledgment process for the Associate Vice President, Development, and major gift officers to ensure a thoughtful, complete, and efficient process of thanking donors under management for their gifts.

Other duties as assigned

Requirements:

Three years administrative/secretarial experience

Experience in higher education or fundraising preferred

Exceptional oral and written communications skills

Excellent organizational skills. Capable of managing multiple assignments from multiple sources; be efficient, organized, commitment to details, and able to meet project deadlines

Experience exercising a high degree of initiative, sound judgment, tact and discretion in the execution of assigned responsibilities as well as ability to think through problems

Ability to work effectively in a fast-paced and diverse team environment with a wide range of professionals in a variety of functional roles

Excellent interpersonal skills and a strong customer service orientation

Excellent computer proficiency
Willingness to work occasional evenings and weekends
