Copyright is an important issue that affects a great amount of work undertaken by NHSBT staff. It is important you are aware that copyright regulations apply, especially when working with library and knowledge resources.

NHS Copyright Licence 1 April 2015 – 31 March 2018

TheCopyright Licence for the NHS in Englandis provided by theCopyright Licensing Agencyand is tailored to meet the requirements of NHS staff, giving enhanced permissions to copy, share and re-use published material.

What can be copied?

·Still images and text from publications created and distributed in electronic form (e-books, e-journals and websites) published by participating publishers.*

·Content and any part of digital material that is ‘free to view’

·Any print or electronic content that is owned or subscribed to by an NHS library

*This covers most of the books and journals we use but to check if a particular publication is included use the search tool at : England permissions come under ‘Public administration’)

How much can be copied?

·A single chapter of a book, or up to 5% of a publication, whichever is greater

·Two articles from an issue of a journal, or any number of articles from a themed issue

·For other digital material not divided into distinct sections (e.g. websites) copying should be limited to small extracts equivalent to the limits set out above

Who are authorised users?

·Employees of any NHS organisation in England

·Any NHSBT employee including those based in Scotland, Wales and Northern Ireland

·Students of any higher education institution who are on placement with an NHS organisation

·Partners, consultants or contractors of NHSBT who have access to our secure network

How can the materials be used / shared?

Multiple copies of book chapters and articles can be printed, distributed or transmitted viaemail to authorised users

·Materials can be stored on the secure network, intranet or VLE for up to 30 days. The duration can be extended if the material is identified as part of a project or function specific database but the location of the material must only be accessible to members of the particular workgroup.

·Digital copies can be saved for individual use on a personal drive

Which materials are not covered by the licence?

·Publications that are not on the CLA list of participating digital material publishers

·Excluded categories such as maps, charts, moving image, newspapers and printed music

·Articles and book chapters supplied by a third party (e.g. the British Library) unless a copyright fee has been paid.
