CONVENOR
Oversee running of Sport from Selection to Nomination for Awards
GENERAL ADMINISTRATION
CIS Sport Convenors – Responsible for the operation of CIS Sports from Nominations to Selections and finally to Awards. The convenor is appointed for a year, reapplying yearly if they would like to stand again. A convenor leads their sport committee using them to assist with the organisation and running of their Championship / selection event. The convenor conducts at least 2 meetings :
  1. Pre-event - to ensure the Championship/selection event is organised
  2. Post event - to evaluate the event and put in place the basic set up for the following year
These meetings may be held face to face, by teleconference or email provided participants are active thus giving their associations maximum access to the trials and ensuring a high level of communication with their associations. Minutes should be forwarded to the committee, CIS and the Management Committee.
Succession Planning – ensure the continuation of your sport if considering standing down by discussion with your committee and consideration of appointing an assistant for when this time occurs. Liaise with CIS secretariat regarding this.
FINANCE
Convenors are responsible for overseeing the budget of their sport.
Budgeting – CIS Sports are to be run at cost recovery. All nominations are $22.25. CIS invoices member associations at the end of each Term. All costs for the selection event should be paid through the nomination fees for that sport. Where this is not possible liaise with CIS regarding your budget. Costs at a basic level include: venue hire, first aid, referees. Some sports may have additional costs laundry, officials lunches etc.
Officials Payments -Where paid referees, umpires, judges are required ensure that Sporting Event Assistant Payment forms (available on the website under Handbook – Sports Administration documents) are completed to enable quick efficient payment of personnel.
CIS Teamsalso operate on a cost recovery bases. –Each CIS Team member is charged a levy to participate, covering the costs associated with training for and competing at the next level. These costs include Team Entry Fees and Photographs, as well as management costs such as accommodation sustenance and travel for CIS officials. CIS provides sustenance allowanceof $40 per day Breakfast $10 Lunch $7.00 Dinner $23 and travel allowance car 55c for first 100km and 37c per additional km. For travel over long distances flying should be considered as a viable alternative taking teacher relief into account. / Teacher Relief – refer to Operational Guidelines for those entitled to teacher relief – forms available on the website under Handbook – Sports Administration documents. Teacher relief does not come out of the Sport Budget.
All cheque requests must be submitted by the convenor.
Budgets must be submitted to CIS prior to Championship event.
PRE-EVENT ADMINISTRATION
Conduct pre event Meeting - to plan and organise the event
Booking Venue
Officials – Organising umpires/referees/judges as required– ensure child protection check in order
Liaising with Team officials - ensuring they are aware of their responsibilities for CIS and at the next level either PSSA / All Schools
Website – Ensure all information regarding your sport is correct
Risk assessment – complete and submit to CIS for publication on the website.
Catering, Scoring, Selections, Equipment – Ensuring any requirements are covered.
Selections - Ensure you are familiar with the applying of CIS Selection criteria
CIS Team forms/handouts/selection letters – Prepare any documentation that needs to be distributed to selected team members.

ADMINISTRATION
Team Enter team on website and notify team members when they are to order uniform and the closing date for this process. Check team members selected had correct name and DOB when selected
Ensure Team members have their nomination number for uniform ordering
Results – CIS Championships results should be forwarded to CIS, Results for the CIS team competing at the next level and then names of those selected to higher honours to be submitted to CIS.
Liaise with Team Manager & Coach – training times, commitment, team preparation and arrangements
Follow up Any uniform orders not submitted online by due date
Place all cheque requisitions for your sport
Conduct post event evaluation “meeting” – forward recommendations to CIS
Nominate students for higher awards
Submitprepare and send a Sport Report to CIS – include Team Report from manager
Book venues for following year where applicable
MANAGER
Responsible for all team management in conjunction with the Convenor and coach following selections / COACH
Responsible for organisation of training and competition decisions in conjunction with the Manager
Attend selection Trials
Organise team lists, uniform lists, distribution of health forms, accommodation and transport information
Liaise with team Parents as required
Detail and go through behaviour protocols with team members.
Ensure supervision and care of students during games and after hours as appropriate
Familiarise yourself with
a)PSSA / All Schools Expectations and ensure that these are met including attendance at meetings and dinners as required.
b)PSSA/All Schools Rules – ensure that the team complies with any rules applicable to their event and that protests and issues
are dealt with in accordance with requirements and in a professional manner.
Provide full report of team/carnival/games/results (see report template)within 14 days of completion of event.
Uniform: Managers are entitled up to $150 for uniform bi-annually / / Attend selection Trials
Training sessions in conjunction with the Manager. Consider the students other commitments and responsibilities when organising training sessions. Refer to Operational Guidelines- Training for details of required commitment and expectations from students
Playing Time:Give all players reasonable playing time. Prior to the competition explain “bench time” and tactics in respect of semis & finals. Ensure that any sport specific rules regarding playing time at the next level are adhered to.
Familiarise yourself with
a)PSSA / All Schools Expectations and ensure that these are met including attendance at meetings and dinners as required.
b)PSSA/All Schools Rules – ensure that the team complies with any rules applicable to their event and that protests and issues
are dealt with in accordance with requirements and in a professional manner.
Uniform: Coaches are entitled up to $150 for uniform bi-annually
