Construction Administrator

Job title: Construction Administrator / Hours per week:20hrs (part time)
Responsible to: Project Manager / Salary: £9,250 - £10,500 (£18,500 - £21,000 FTE) subject to experience
The Construction Administrator is responsible for ensuring that administrative systems are kept up to date and current for the company’s construction projects.
This key personwill play a central role in supporting Down to Earth’s management teams to effectively support the growth of the company. In addition, this post is responsible for orderingconstruction materials to site, together with related paperwork and generally providing support to key construction staff, project managers and the professional team.
This key role will be fulfilled by an experienced and creative person who can manage multiple tasks effectively. In line with the core values of Down to Earth, this position is for someone who is empathetic, patient and open-minded to support our core work – working with highly vulnerable and ‘hard to reach’ groups. Being the person who will occasionally be the first point of contact, this role requires someone who fully embraces the vision of Down to Earth and supports the needs of our groups and the rest of the team.
Organisationally we embrace new digital technologies and we are looking for a person who is at ease using cloud based systems.
Contract duration:This is a permanentposition with a 3 month probation period.
Working hours and location:This position is for 20 hours per week. We expect the working hours to be 10.30am to 2.30pm, Monday to Friday, though we understand the need for some flexibility.
The position will be located at our two venues on the Gower peninsula: near Cilibion and Murton. Due to the relatively remote location and multiple venues, you’ll need to have access to your own vehicle for the role.
Outline roles and responsibilities:
  • Understand and work fromproject specifications, architectural and structural documents.
  • Keep drawings and specification records up to date and noting key updates.
  • Update construction variations, costing materials and labour.
  • Obtain quotes to ensure the most competitive prices with suppliers. Place orders with approved suppliers. Feedback to Project Manager.
  • Monitor and report the usage of key materials and components. Monitor stock and inventory.
  • Negotiate and agree terms, discounts and rebates with suppliers. Feedback for approval to Project manager
  • Develop and maintain relationships with suppliers.
  • Ensure the on time and in full delivery of specific materials to achieve the work schedules and build plan.
  • Issue monthly inventory stock situation. Liaise with Project Manager.
  • Identify improvements to purchasing methods to drive down costs and improve supplier performance.
  • Attend and contribute to site meetings as required.
  • To maintain good housekeeping standards within the office environment.
  • Develop and maintain administrative system that support the construction team.
  • Follow and implement Down to Earth’s, policies and procedures.
  • Comply with the Health & Safety requirements.
  • To carry out other reasonable duties in line with your qualifications and/or experience as instructed by the Project Manager.
  • Support of general site maintenance, logistics and other team tasks.

Person specification
Essentials: to be suitable for this position you’ll need to show us you have the following experience:
  • Extensive and demonstrable experience in managing diverse administrative tasks within the construction industry.
  • Excellent organisational skills
  • A passion for sustainability/equality and the interwoven benefits it brings to people, the environment and the economy
  • Proven planning and time managementabilities
  • Excellent communicationand inter-personal skills
  • Creative, systems thinking with an ability to turn into ideas into reality
  • Track record in using a range of software, in particular Excel and Microsoft Project or similar
  • Ability to train and support others in use of administrative systems, including digital methods
Essential qualifications:
  • Construction related experience (minimum 3 years) and/or construction related qualification
  • Three years of administrative assistant experience in a professional office environment
  • Fully qualified driver
Desirable:
  • Welsh speaker
