JOB DESCRIPTION

Job Title: / Executive Project Manager
Responsible to: / Communities Fiji Britain Board of Trustees

Purpose of the Job

To lead and manage day-to-day operations of Communities Fiji Britain (CFB) including recruitment and line managing all paid staff positions.

To have overall responsibility for developing and implementing community engagement and outreach activities that support the changing needs of the Fijian community residing in the UK, as well as improve community cohesion/empowerment within the community.

To lead and identify potential future sources of sustainable funding, and write funding applications on behalf of the Board of Trustees. This includes ability to effectively monitor and evaluate projects as per CFB Trustee/funder requirements.

To lead on CFB strategic communications and develop communication tools such as social media accounts. To be the main communications contact and liaison on behalf of CFB as directed by the Board of Trustees

To be the lead contact responsible for data protection, confidentiality and safeguarding for CFB.

To design, and lead, a training programme for CFB staff, Board of Trustees, and volunteers.

To develop links, and networks of key community leaders within the Fijian community residing in the UK.

To develop strategic partnerships with other organisations supporting Fijians in the UK.

To ensure that CFB activities support the strategic aims of CFB and other agencies that CFB works with.

To ensure that activities are recorded and successful ones are promoted internally and externally, including online and by award submissions.

To have overall reporting responsibility to the CFB Board of Trustees and work closely with the Governance Support Co-ordinator to produce reports as and when required for the Board of Trustees.

To undertake projects as directed by the CFB Board of Trustees.

Financial Responsibilities

Develop and propose an annual budget to the Board of Trustees for approval.

Monitor and report on the budget at CFB Board meetings.

Ensure the CFB budget is spent effectively and within budget limits.

Other Responsibilities

1.  To plan, develop and deliver on all day-to-day operations of CFB and consultation initiatives including digital engagement. Develop an engagement and outreach plan annually, outlining engagement and outreach objectives as directed by the CFB Board of Trustees.

2.  Ensure continuous improvement in the quality and range of opportunities for CFB activities including supporting existing community organisations/groups and work in partnership with other support organisations relevant to CFB’s strategic objectives.

3.  Coordinate community events and outreach to support CFB strategic objectives / priorities and evaluate effectiveness / social impact of CFB activities. This includes developing an annual community needs survey to assist with identifying new or emerging issues impacting on the Fijian community residing in the UK

4.  To keep abreast of the needs and emerging issues impacting on the Fijian community residing in the UK, to build on new initiatives to ensure CFB is at the forefront in understanding the key issues Fijians are facing in the UK.

5.  Produce publicity and write reports on CFB activities and their impact, including updating the CFB website and social media accounts.

6.  Use data collected to shape the priorities and work of CFB and enable benchmarking with other organisations where possible that is relevant to the strategic objectives of CFB.

7.  Develop Trustees’, staff and volunteers’ skills and knowledge by producing and ensuring the delivery of an annual training and capacity building programme.

8.  Support CFB to meet its aims by delivering successful projects as agreed, and directed by the CFB Board of Trustees.

9.  Ensure that all users, or potential users, of the services offered by CFB have fair and equal access by using information about ethnicity, vulnerability and disability to measure involvement and identify needs by those groups and act where needed.


General Responsibilities

1.  To coordinate activities to ensure the best allocation of resources and record activities to ensure effectiveness and benchmarking with other organisations where viable.

2.  To develop the team and work with colleagues and the CFB Board of Trustees to help them develop to their fullest potential.

3.  Maintain good working relationships and effective communications both internally and externally. Work collaboratively with staff, volunteers and Trustees across CFB to ensure the delivery of CFB strategic objectives and represent CFB at meetings with external organisations and partners as appropriate

4.  Maintain health, safety and security of self and others, with an awareness and commitment to good safe working practice and adherence to CFB’s Health and Safety policies and procedures including safeguarding.

5.  Adhere to and support CFB equalities policy, acting in ways that support equality and fair opportunities for all staff, volunteers and Trustees

6.  Represent CFB at meetings (including evening and weekend meetings) as required.

7.  Carry out other duties commensurate/consistent with the position/grade as directed by the Trustees.
