Responsible to:On a day to day basis the postholder will be responsible to the Senior Programme Administrator. The School Manager and Head of School will support the training and career development of administrative staff.

Main areas of

Responsibility: 1.To provide and co-ordinate an administrative service for a range of courses/modules within the School of Health Sciences.

2.To provide comprehensive student administrative support for a range of courses/modules within the School of Health Sciences, ensuring agreed standards and deadlines are met.

  1. To work as part of the team of administrative staff in supporting and developing the full range of work within the School of Health Sciences.

Specific duties:1To provide and co-ordinate an administrative service for a range of courses/modules within the School of Health Sciences.

1.1In liaison with the Course Leader(s) and relevant academic staff to co-ordinate the production and revision of course timetables, ensuring that appropriate teaching rooms are booked and that up to date timetables are issued to staff and students as appropriate.

1.2To be responsible for the preparation of documentation relating to the administration of courses, including the preparation of course documents and student handbooks and correspondence related to the courses; providing administrative support for course development including formatting and editing text, preparing statistical tables and graphs etc.

1.3To provide course leaders with the statistical data required for the monitoring and evaluation process.

1.4To be responsible for liaising with central University of Brighton departments (e.g. Academic Services/Finance/Student Services) and external organisations (professional bodies, exchange programmes), in relation to course specific issues. e.g. CAMS administration, welfare benefits, student fee status. In order to deal with these it is essential to keep abreast of policy changes and regulations.

1.5To service programme related meetings such as staff/student consultative meetings; course committee and team meetings. This includes agenda and paper preparation; taking minutes; ensuring follow up action is taken.

1.6To assist with student enrolment and other student administration events.

2To provide comprehensive student administrative support for a range of courses/modules within the School of Health Sciences, ensuring agreed standards and deadlines are met.

2.1To be the first point of contact in relation to the current student body and staff team, ensuring that students comply with the statutory requirements of the courses and that their programmes are recorded and monitored as appropriate.

2.2Ensure that students are orientated to the programme, with special reference to administrative procedures including enrolment and associated professional requirements

2.3To be responsible for developing and maintaining individual student files, developing appropriate word processed or spreadsheet systems in support of the course and their exploitation for the particular needs of each award.

2.4To collect, record and distribute coursework and dissertations to teaching staff.

2.5To co-ordinate and collate coursework and to be responsible for the administration of the examination processes for courses in the programme area as follows:

  • To maintain student assessment record databases (CAMS)
  • To prepare mark sheets for the examination board
  • To service programme/course examination boards and sub-committees of the examination boards
  • To prepare pass lists and distribute result letters to students, in liaison with academic staff and the Chair of the examination board.

3.To work as part of the team of administrative staff in supporting and developing the full range of work of the School of Health Sciences.

3.1To keep up to date with all aspects of the School of Health Sciences policy and procedure.

To support other members of the administrative team, providing cover for sickness and holidays and helping when there is heavy pressure of work.

3.3To assist with staff induction as necessary, explaining factors related to the administration of the school.

3.4To be aware of relevant health and safety regulations and to cooperate with them.

3.5To undertake other duties deemed necessary by either the Senior Programme Administrator or the Deputy School Administration Manager.

Knowledge/qualifications: Fast accurate word processing and presentation skills; ability to service meetings including accurate and appropriate minute taking competence with using spreadsheets; ability to produce grammatically correct written work; ability to produce properly laid out accurate numerical work; ability to assimilate new information quickly; experience of using databases and spreadsheets

•Communication: understands the information needs of others; is able to communicate information in an understandable way orally and in writing as suitable to the situation
