FMBS - Colleague Released Time

Colleague Released Time Released time is entered in Colleague through the FMBS and FCMD screens. The FMBS screen is used to indicate the general category of released time. These categories correspond to the codes 99999, 77777, and 55555 used in our legacy system. Additionally, in Colleague the FCMD screen is used to categorize further the specific project for which the released time is given. This latter feature gives us a capability we did not have in the legacy system.

The procedures for entering released time in Colleague follow:

1. Call up the FMBS screen. In the ST module using the menu system, this screen may be reached through FI→FAD→FMBS. Alternatively, select the option Run, under File, and type in FMBS, and press Enter.

Upon calling up the FMBS screen, you will be asked to identify the faculty member. You may identify the faculty member by name or by the person's Colleague ID. The system is smart and will try to figure out the correct faculty member even if you enter partial information. If Colleague isn't sure, you will get a Resolution screen listing the possibilities. Simply pick the name you want from the list. In general, the more information you give Colleague at Lookups, the faster the system will work.

2. For demonstration purposes only, below is a sample FMBS screen for a faculty member. Enter the type of released time under Member Of on line 1. For internally funded released time projects, use the code INSRT; for grant related or externally funded released time, use EXTRT; for coaching, use COACH. If a faculty member has more than one type, enter the remaining types on lines 2, 3, etc.

3. After entering the correct code on the FMBS screen, detail in on the Member Of value to call up the FCMD screen which you will use to categorize the project for which the released time is given. The screen looks like this:

4. Enter the semester for which the released time is being given in the field to the right of Membership Periods. The simplest way to do this is to type the code for the semester in the field, e.g., 2002FA, under Start Date, and press enter. Colleague will supply the correct start and end dates for you automatically.

5. Next, enter the first released time project on line 1. There are several possibilities. To see the possibilities, type an ellipsis (i.e., . . .) in the Roles field. In the Start Date field, again enter the code for the semester, e.g., 2002FA, and press Enter.

6. Next, enter the correct amount of released time in the Load field, and press Enter. If there are additional released time projects to enter, move to line 2 and repeat the process. Once you are finished, save your work by pressing the F9 key, or through the menu system, File→Save.

7. To Designate Released Time As Overload - In the FCMD screen, enter the amount of released time which is overload in the Contact Hours field. In the example below, the instructor has been given six hours of released time in total, three hours of which are designated as overload. Of course, always save your work before exiting by clicking on File→Save.

8. Saving your work will return you to the FMBS screen, which will now be updated upon the basis of the information you just entered on the FCMD screen. Because a faculty member may have multiple released time assignments AND because FMBS only provides a one line display, the FMBS screen may not appear correct. If so, run the faculty workload report.

9. To run the Faculty Workload report, go to FI→FAD→FWKL. Enter the faculty member's name, the correct semester, and press Enter. You will see the released time assignments listed in the bottom half of the screen.
